Position Title: Maintenance Administrative Assistant

FLSA Status: Part-Time / 25 hours per week; Non-Exempt

Scope of Position/Essential Functions:

The position performs a wide variety of detailed and advanced administrative duties. Assignments are performed with some independence that require the exercise of sound judgment and decision making but remain in conformance with established office policies and guidelines. Provide high-level administrative support by conducting research, corporate card reconciliations, data entry/tracking, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Education and Work Experience:



  • High school or equivalent.
  • Proficiency with computers and Microsoft Word, Excel, Access, and Publisher.
  • Strong proofreading and editing skills; thorough knowledge of correct grammar and punctuation; ability to organize and prioritize tasks while working cohesively and collaboratively with co-workers, supervisors, visitors, vendors, and clients.
  • Ability to maintain regular and punctual attendance and to demonstrate professional conduct at all times to include absolute adherence to confidentiality standards.
  • Current Alaska driver's license with acceptable driving and criminal history reports.


Essential Functions:



  • Understand and clearly support and promote the mission of The Salvation Army.
  • Assist with written, verbal, and electronic communications, including creating, formatting, and preparing a variety of official letters and documents.


  • Prepare reports, memos, letters, financial statements, and other documents, using Word processing, spreadsheet, database, or internal/company software.


  • Open, sort, and distribute incoming correspondence, including faxes and email.


  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and basic bookkeeping work.


  • Answer phone calls and direct calls to appropriate parties or take messages.


  • Assist in personnel processes such as new hire paperwork, interview scheduling, personnel action forms, and distribution of forms to Human Resources.
  • Build and maintain positive professional relationships with all other departments within the organization.
  • Assist with standing in on light case management and disbursements of vouchers, goods, and other necessary items.
  • Work on special projects and perform other related duties as assigned.


Work Environment:

Work is performed in a heated and ventilated institution setting. The noise level is low. Exposure to extreme temperatures is not a requirement of this position.

Physical Requirements:



  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent basis.
  • Ability to grasp, push/pull objects, and reach overhead.
  • Ability to see and hear at normal ranges with corrective devices, if necessary.
  • Ability to lift up to 35 lbs.
  • Ability to understand and produce written and verbal information.
  • Ability to operate a motor vehicle in daylight, darkness, and in inclement weather conditions.

Language Skills: Must be able to understand, follow and give both written and oral instructions. The employee must be able to use speech and hearing for ordinary and telephone conversation.

Mathematical Skills: Must be able to perform simple calculations (addition, subtraction, multiplication, and division) and apply concepts such as ratios and percentages in practical situations.

Performance Skills: Must be creative, self-motivated, organized, flexible, and possess leadership skills.

Sacred Boundaries and Protect the Mission: Must complete the online course for this area and pass the Background Check required by The Salvation Army for employment.
