Operations Manager at Lone Star Pediatric Dentistry and Braces (Orthodontic Focus)

Position Overview:
The Operations Manager at Lone Star Pediatric Dentistry and Braces is responsible for overseeing the operations of the practice with a specific focus on orthodontics, driving financial performance and revenue growth. This role ensures an excellent patient experience by establishing systems and processes that enhance patient satisfaction, retention, case acceptance, and employee and provider engagement. The Operations Manager supports all areas of practice operations, including administrative functions in both the front and back office, aligning with the Company's mission of helping children achieve a lifetime of great oral health.

Work Schedule:
Hours: 8 AM - 5 PM, Monday through Friday
Travel: Required to Dripping Springs and Circle C locations

Education/Credentials:
Bachelor's Degree in Business or related field (Master's preferred) or equivalent work experience.

Job-Related Experience:
Minimum of 3-5 years of progressive leadership and practice management experience.
Excellent communication, problem-solving, and leadership skills.
Coursework or on-the-job training in dentistry, business, or training.
Strong healthcare management and customer service management skills are a plus.
Experience in leading a team, mentoring, and coaching.

Ortho experience with Dolphin software knowledge is required.

Skills/Competencies:
Exceptional critical thinking and decision-making skills within assigned scope of authority.
Strong ability to supervise, lead, develop, and coach staff.
Business acumen with the ability to control expenses and support departmental collaboration.
Proficiency in planning, prioritizing, and coordinating activities, services, and schedules.
Competence in assessing, communicating, and developing employee performance.

Working Conditions/Physical Demands:
Office environment

Major Duties and Responsibilities:
Manage office staff, providing problem-solving, decision-making, planning, delegation, and conflict management.
Build and maintain a positive office culture.
Select and orient office staff in coordination with RDO and Human Resources.
Evaluate staff performance, conduct performance reviews, and ensure completion of required learning modules.
Conduct regular practice staff meetings.
Facilitate and resolve employee complaints/concerns.
Oversee onboarding and training of new employees.
Implement office policies to achieve performance goals, including patient satisfaction, access, employee engagement, provider engagement, financial performance, and growth.
Meet or exceed annual NPS targets and implement action plans as needed.
Provide necessary information to support compliance with established policies to other departments (e.g., Human Resources, Marketing, Finance).
Ensure proper documentation for revenue cycle activities.
Act as an interdepartmental liaison.
Report any safety-related incidents promptly and attend safety training programs.
Stay current with state and federal regulations/statutes and company policies.
Monitor and ensure certifications/licenses are up-to-date.
Complete all mandatory modules and job-specific training within specified time frames.
