Description In collaboration with the Exec Director of Ambulatory Services and other members of the management team, directs the daily operations of a medical practice/ambulatory location(s). Develops and administers the budget, manages staff, and ensures cost-effective operations. Ensures patient and family satisfaction, optimizes team engagement and retention, and improves operational issues including staffing, patient throughput, and access to clinical services. Directly or indirectly reports up to Exec Director Ambulatory Services.
Qualifications

Minimum Education
Bachelor's Degree preferably in business or healthcare admin (Required) or relevant experience beyond the minimum required work experience may substitute the educational requirement on a 1-to-1 ratio; i.e. one year of relevant work experience equals one year of required education


Minimum Work Experience
4 years progressive managerial experience including administrative/office management in an ambulatory healthcare setting (Required)

Functional Accountabilities
Strategic Planning, Revenue Enhancement & Marketing



  • Maximize room utilization of facility using fill rates and other metrics in the analysis.


  • Ensure proper utilization of facility space and manage the expansion based on metrics.


  • Participate in the planning for new business opportunities and service in support of the CNMC mission.


  • Promote marketing of services with public relations to external referring physicians and the community they serve.


  • Participate in professional groups and community outreach activities.


  • Monitor volume of clinic visits, wait times, no show rates, denials, patient service charges and clinic cancellations; report metrics monthly and identify opportunities for both operational and process improvements.


Administrative Management



  • Lead the implementation and evaluation of services provided at the facility.


  • Design and implement processes for daily activities.


  • Provide troubleshooting, problem solving and system expertise to staff.


  • Assess barriers to efficiency in operations, make recommendations, prioritize tasks, and take ownership of performance improvements; ensure appropriate resources are available.


  • Monitor appointment and registration quality; report on metrics against benchmarks and ensure standards are met.


Compliance



  • Promote and support adherence to organizational, state and federal regulatory standards to ensure quality of patient care delivery.


  • Participate in development of practice operations, policies and procedures.


Facility Management



  • Ensure a safe, secure, clean work and patient care environment to include functionality of equipment.


  • Interact and manage the business contract/service vendors to ensure availability of services at all times.


Budget and Financial Analysis



  • Responsible for managing the budget for the facility and implement actions to administer programs within budgetary guidelines.


  • Work with Director, throughout the year and participate in the budgeting process, to identify volume impacts, equipment needs, resource needs.


  • Manage the process to ensure timely delivery of charge entry documents, inclusive of daily reconciliation.


  • Ensure proper verification of insurance eligibility, coverage, authorization and referrals of all patient care services.


  • Manage reports to ensure financial viability of the facility and the departments involved.


  • Responsible for cash controls and financial processes relative to TOS collections.
