DEPARTMENT OVERVIEW

The Asian American/Pacific Islander Resource Center (AA/PIRC) co-creates engagement with students who identify as part of the Asian American, Pacific Islander, & Southwest Asian & North African (AA/PI/SWANA) diaspora at UC Santa Cruz; exploring the complexities of their holistic experiences, and individual and collective identities. AA/PIRC's engagement includes leadership and holistic development, along with educational opportunities with, for, and in support of AA/PI/SWANA communities.

About the Resource Centers: UCSC Resource Centers offers counter-spaces for students who are queer, trans, non-binary, womxn, and people of color, and engages the broader campus about issues and challenges facing our communities. The Resource Centers impact institutional policies and campus climate, and RCs offer programs and services to foster student's personal and professional growth, through community-based leadership development. The Resource Centers' vision is for students to feel fully affirmed in their diverse and intersecting identities, empowered in their academic success, and graduate with a sense of belonging. Resource Centers include the following units: African American Resource and Cultural Center (AARCC), American Indian Resource Center (AIRC), Asian American/Pacific Islander Resource Center (AA/PIRC), El Centro: Chicanx Latinx Resource Center (CLRC), Lionel Cantu Gay, Lesbian, Bisexual, Transgender, Intersex Resource Center (Cantu Queer Resource Center), and the Womxn's Center. About the Division: The UC Santa Cruz Division of Student Affairs and Success (DSAS), led by the Vice Chancellor for Student Affairs and Success, consists of nearly 250 team members spanning 3 major units and 21 departments. The division provides campus-wide coordination and leadership for student success programs, activities, and initiatives. DSAS also does work through a range of resource centers dedicated to providing direct student support. The division's work is grounded in educational equity, institutional responsibility, and an unfettered commitment to supporting the whole student. DSAS aspires to ensure every student feels welcome, supported, and a sense of belonging during their time on campus. About Student Success and Equity (SSE): The Student Success and Equity (SSE) portfolio of departments is a branch of DSAS focused on academic support services, advising/counseling, student life/co-curricular programming, student identity development and retention/student success initiatives. Student Success and Equity provides services to the campus community with over 17,000 undergraduate and graduate students and has over 64 career employees and 475 student staff employees operating in 8 facilities/locations. The Student Success and Equity area includes a wide array of multi-disciplinary academic and non-academic units including: Disability Resource Center (DRC), Educational Opportunity Programs (EOP), Learning Support Services, Services for Transfer Re-entry and Resilient Scholars (STARRS), Renaissance Scholars Program (including Foster Youth), Veteran Resource Center, African American Resource and Cultural Center (AARCC), American Indian Resource Center (AIRC), Asian American/Pacific Islander Resource Center (AA/PIRC), Chicano/Latino Resource Center (El Centro), Women's Center (WC), the Lionel Cantu Queer Center (LGBTQ+), Undocumented Student Services (USS), the UCSC Hispanic Serving Institution Initiatives (HSI), African Black and Caribbean Student Success, Career Success, and campus committees/programs, and the Administrative and Business team for the unit.

JOB SUMMARY

Under the general supervision of the Asian American / Pacific Islander Resource Center Director, the Program Coordinator will coordinate multiple programs, provide substantial administrative support, and perform supervisory duties of student interns for the Asian American / Pacific Islander Resource Center. The Program Coordinator will work with specific student populations, primarily Asian American/Pacific Islander, and issues as they relate to academic success and personal development in a comprehensive university setting. The incumbent will also assist in developing and executing co-curricular, academic, educational and collaborative programming amongst all the Resource Centers in partnership with other Division of Student Success units and academic departments, with particular focus on AA/PIRC programs. Resource Centers include African American Resource and Cultural Center (AARCC), American Indian Resource Center (AIRC), Asian American/Pacific Islander Resource Center (AA/PIRC), El Centro: Chicanx Latinx Resource Center, Women's Center, and Lionel Cantu Gay Lesbian Bi Trans Intersex Resource Center (Cantu Queer Center). Using professional student services theories and concepts, the Program Coordinator performs a limited range of duties and responsibilities within a Student Life program. The Program Coordinator works independently to provide information and interpretation of clearly defined policies, procedures and regulations. The Program Coordinator receives direction regarding more complex issues and / or program(s), and identifies individual student needs for programs and services and advises on appropriate programs and resources.

APPOINTMENT INFORMATION

Budgeted Salary: $25.77/ Hourly - $29.24 / Hourly. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

50% - Program Planning

  • Provide essential support services for a student program(s) and / or provides basic academic support services for the AA/PI communities at UCSC.
    • Assist Resource Center Directors and Specialists in producing and promoting large-scale events and project management, with particular focus on programs and events out of AA/PIRC; such as contacting guests and coordinating travel, schedules, and day of program volunteer coordination and logistic details.
    • Plan and coordinate logistics for Resource Centers collaborative programs and activities such as, Student Leadership Institute, the AA/PI Fall Community Mixer, Resource Center welcome events and mixers, Resource Center leadership retreats, Big Break, ERC Open House, Comedy Night, AA/PI Heritage Month and annual Year-End Ceremonies.
    • Plan and coordinate specific cultural activities aimed at outreach, recruitment, and retention of historically underrepresented students within AA/PI communities.
    • Develop and oversee community service projects; handle all aspects of program coordination, including finances, fundraising, speaker/facilitator relations, content development, publicity, and necessary materials.
    • Evaluate programs in writing, including statistical data; report regularly on content and success of programs.
    • Maintain relationships with internal and external organization's stakeholders, particularly internal and external organizations that serve AA/PI communities, important to program success.
    • Plan and coordinate collaborative programs with campus units, academic departments and student groups.
    • In partnership with other professional staff at AA/PIRC, co-develop and implement training for various campus units, including residential staff, student groups, and classes.

25% - Advising and Supervising Students

  • Provide transactional advising and guidance to student leaders participating in the AA/PIRC internships programs, co-curricular programs and / or organizations on non-sensitive issues. Facilitates student development in leadership, communication skills, project coordination and in establishing goals.
    • General supervision of student workers, volunteers, and interns; provide training, orientation, supervision and evaluation of student staff and volunteers who work on various projects in collaboration with the AA/PIRC Director, Graduate Student Coordinator, and other AA/PIRC staff.
    • Assist in selection, hiring, and training of student interns and volunteers.
    • Maintain commitment to recruitment and management efforts that will support the achievement of campus/departmental affirmative action goals and enhance staff diversity.
    • Recruit, train, and coordinate volunteers for large-scale programs, including creating Google forms, communicating with students, support with publicity and assigning tasks.
    • Advise AA/PIRC Interns on program development, learning outcomes, and project management.
  • Under the guidance of the AA/PIRC Director, RC Directors, or RC specialists, resolve non-complex individual cases regarding student affairs or student life.
    • Advise individual students and student staff/interns on academic, career, and personal issues; make needed referrals; develop and update referral listings.
    • Monitor student intern academic performance and maintain accurate grade reporting information.

25% - Administrative Support

  • Serve as an advisor to a small student service operation, which may include training students and staff, preparing budgets, and fiscal analysis.
    • Represent the AA/PIRC Director at relevant campus committee meetings; serve as primary administrative support for staff and committees requiring staff participation; responsible for minute preparation during weekly professional and student staff meetings.
    • Supervise and maintain student intern schedules, work logs and chore tasks within the space, as needed.
    • Coordinate AA/PIRC staff and student participation and schedule for on campus resource fairs.
    • Develop and maintain comprehensive knowledge of campus and unit policies, procedures and regulations related to unit programming; furnish such information as necessary and make referrals as appropriate.
    • Establish work standards and office procedures and ensure consistent application, in consultation with the AA/PIRC Director.
    • Manage facilities, reservations, office supplies, and equipment.
    • Assist in fiscal management, including creating and closing Purchase Orders, reviewing encumbrances, and submitting necessary forms for purchases, reimbursements, and other fiscal matters.
  • May provide recommendations and suggestions for changes and / or development of new activities and services.
    • Assess programming needs; work with AA/PI communities to design and implement programs; develop programming with student organizations, colleges, resource centers, and other campus units.
    • Maintain databases of AA/PIRC internship program alumni, staff/faculty affiliated with AA/PIRC programs, and student leaders from AA/PI groups.
    • Maintain archives of events; design materials to evaluate, assess, and maintain statistics and produce reports on programming events.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Experience in creating, implementing, and publicizing diverse, successful, mostly low-budget large-and small-scale events.
  • Excellent initiative, resourcefulness, and attention to detail.
  • Strong problem-solving skills.
  • Organizational skills and abilities sufficient to independently establish priorities and complete concurrent assignments with frequent interruptions and noisy work environment.
  • Strong cultural competency skills to engage with individuals from diverse backgrounds, particularly those with identities served by the Resource Centers.
  • Experience working with diverse student populations, including student organizations, and campus departments and committees, particularly with Asian American, Pacific Islander, and Southwest Asian and North African (AA/PI/SWANA) communities.
  • Knowledge/understanding of diversity issues in higher education, particularly related to AA/PI/SWANA communities.
  • Related administrative experience sufficient to provide support functions to the AA/PIRC Director and staff.
  • Strong interpersonal and communication skills; ability to give, receive and record clear, concise information or directions (written and oral), facilitate discussions, and mediate conflict resolutions.
  • Ability to exercise tact and diplomacy, sensitivity and helpfulness when interacting with students, faculty and staff from diverse cultural or socio-economic backgrounds or handling sensitive issues.
  • Ability to produce detailed reports and documents; ability to analyze data, present findings, and suggest resolutions.
  • Ability to learn policies and procedures from both verbal and written sources; ability to apply and explain office policies and procedures with consistency.
  • Knowledge and experience using standard office computer applications such as Google Email and Calendars, Word, Excel, database software.

PREFERRED QUALIFICATIONS

  • Experience in website creation or content management.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
