Position Summary

The Office of Academic Affairs is seeking an experienced, highly organized, service-oriented Administrative Coordinator to join our collaborative administrative team. This position offers a unique opportunity to support key university priorities by working closely with the Vice Provost for Student Success, and the Chief of Staff on a variety of administrative and human resources functions.

As a member of a strong and supportive administrative team, the Administrative Coordinator will provide executive-level administrative support, coordination on projects and events, maintain records and databases, and serve as a liaison with internal and external stakeholders.

In this role, you will:

  • Provide administrative and operational support to the Vice Provost for Student Success.
  • Assist the Chief of Staff with human resources processes, personnel actions, recruitment activities, and other employee-related matters.
  • Serve as a professional point of contact for faculty, staff, administrators, students, and external constituents.
  • Coordinate complex meetings, special events, and projects involving multiple stakeholders and organizational units.
  • Prepare and manage correspondence, reports, presentations, agendas, and other administrative documents.
  • Maintain confidential personnel, committee, and operational records with the highest degree of discretion and professionalism.
  • Support data collection, reporting, recordkeeping, and database management activities.
  • Collaborate closely with fellow administrative professionals to provide seamless support across the Office of Academic Affairs.

Conditions of Employment
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Experience providing administrative support in an executive or senior leadership office.
  • Experience managing confidential personnel and organizational information.
  • Experience supporting human resources processes and personnel actions.
  • Experience coordinating recruitment efforts and search committees.
  • Experience scheduling and coordinating complex meetings involving multiple stakeholders.
  • Experience maintaining records, databases, and reporting systems.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with, or the ability to quickly learn, university human resource, hiring, and personnel action systems.
