Position Purpose
The Event Assistant provides day-of, on-site operational support for events hosted or co-hosted by the Office of the Dean. These include Board of Advisors meetings, donor and alumni gatherings, faculty and student recognition events, lectureships, and senior leadership convenings. Work is assigned on a per-event basis. The position exists to add trained, reliable capacity on high-visibility event days without adding continuing staff
Required Qualifications
* High school diploma or equivalent.
* Demonstrated customer service or hospitality orientation and professional presentation appropriate to donor and trustee-facing settings.
* Reliability and punctuality; ability to commit to scheduled event dates once confirmed.
* Sound judgment and discretion when working around confidential information and senior leaders.
* Ability to take direction and to work independently once briefed.
* Availability for evening and weekend events.
* Reliable transportation to campus and off-site venues.

Ability to stand and walk for extended periods, up to four hours at a time. Ability to lift, carry, and position materials up to 25 pounds. Work involves moving between indoor and outdoor venues in varying weather. Event days may exceed eight hours; overtime must be approved in advance by the event lead.
Preferred Qualifications
* Prior event, hospitality, conference, or catering experience.
* Familiarity with higher education or academic medicine environments.
* Familiarity with Dartmouth campus venues and parking

Schedule
Intermittent and non-continuous. Hours are event-driven, scheduled in advance by mutual agreement, and frequently include early mornings, evenings, and weekends. No guaranteed minimum hours.

Key Accountabilities




Key Accountabilities
* Set up and break down event spaces, including seating, signage, name badges, printed materials, and displays.
* Staff registration and check-in; manage guest lists and walk-in attendees.
* Greet and direct guests, provide wayfinding, and escort speakers or VIP guests as directed.
* Serve as on-site point of contact for caterers, facilities, parking, and AV or technical staff; escalate issues promptly to the event lead.
* Monitor room conditions during the event, including refreshments, temperature, seating capacity, and accessibility needs.
* Transport and stage event supplies and materials between storage and venue.
* Assist with basic AV needs such as microphone handoffs, slide advancement, and confirming equipment is functioning at start of event.
* Support post-event closeout, including materials inventory, lost and found, and a brief handoff note on issues encountered.
* Handle guest, donor, and leadership information with strict confidentiality.
