Office Administrator
Location: Pittsburgh, PA
Schedule/Shift: Monday-Friday, 8:00 AM-5:00 PM; 100% onsite
Pay: $25.00 per hour

Job Summary
The Office Administrator provides general administrative support for office operations while serving as a liaison between regional teams and shared Finance and Human Resources functions. This role supports payroll, route accounting, customer inquiries, HR processes, records management, office supplies, meetings, and day-to-day administrative activities. The position requires strong organization, communication, attention to detail, and the ability to manage multiple priorities in a professional office environment.

Job Responsibilities



  • Provide administrative support to regional leadership and branch operations.
  • Manage daily office activities, including mail, package deliveries, office supplies, equipment, and general office needs.
  • Support payroll processing, route paperwork, customer account inquiries, and related Finance activities.
  • Complete daily route accounting balancing and ensure required documentation is collected.
  • Support Human Resources with new hire paperwork, timecard tracking, recruiting documentation, uniform orders, and general HR inquiries.
  • Answer incoming phone calls professionally and direct calls to the appropriate contacts.
  • Maintain accurate files and follow applicable record retention requirements.
  • Plan, coordinate, and organize meetings and office events.
  • Review and process operating expenses for appropriate approval.
  • Provide sales support, including outbound calling activities when applicable.
  • Maintain required workplace postings and records in accordance with applicable requirements.
  • Collaborate with internal teams and share administrative best practices.
  • Perform other assigned administrative duties as needed.


Job Requirements



  • Prior office administration, customer service, human resources, payroll, accounting, or related experience is preferred.
  • Strong verbal and written communication skills.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Strong mathematical and data accuracy skills.
  • Proficiency with Microsoft Office.
  • Comfort using smartphones and other office technology.
  • Strong attention to detail and punctuality.
  • Ability to maintain confidentiality when handling payroll, HR, and employee information.
  • Fluent in English.
  • Ability to occasionally lift and move up to 25 pounds.
  • Ability to work in an office environment with moderate noise and occasional exposure to moving equipment and outdoor weather conditions.


Education



  • High school diploma or GED required.


Work Experience



  • Prior office administration, customer service, human resources, payroll, accounting, or office management experience is preferred.
  • Direct Store Delivery or route accounting experience is a plus.
