Office Coordinator

Our growing San Diego office is home to approximately 40 professionals working in the office, in the field, and remotely. As part of C&S Companies, we provide architecture, engineering, and construction (AEC) services, with local expertise in civil engineering, electrical engineering, planning, general contracting, and design-build. Position Overview

We are seeking an Office Coordinator for our San Diego, CA office to manage daily office and administrative tasks while supporting teammates across locations. The ideal candidate is organized, accurate, and approachable, with strong communication skills and the ability to manage multiple priorities. This is a part-time, fully in-office position with a schedule of Monday-Thursday, 8:30 a.m.-3:30 p.m., and Friday, 8:00 a.m.-noon (32 scheduled hours per week before unpaid meal breaks).

Position Responsibilities

• Maintain organized files, electronic records, and databases.
• Provide general administrative support to the San Diego office and other C&S teammates.
• Coordinate staff travel and C&S events.
• Assist senior staff with preparing and submitting expense reports.
• Greet visitors and coordinate lunches as needed.
• Support office onboarding for new hires.
• Print Safety STAC cards and coordinate project signage.
• Keep breakroom areas clean and stocked with coffee and supplies.
• Order office supplies and maintain inventory.
• Maintain fleet vehicle and construction, marketing, and engineering equipment inventories.
• Coordinate mail, project deliveries, shipping/receiving, parking, and building management communications.
• Promptly report incidents, accidents, near misses, hazards, and unsafe conditions to a supervisor or the Health and Safety Department.
• Assist the C&S Construction Senior Project Administrator with:
  • Exporting and filing executed change orders.
  • Procore administration, including project contacts and data entry.
  • Subcontractor outreach for documents and qualifications.
  • Printing plans using plotter systems.
  • Collecting and verifying COI and OCIP documentation.

Skills/Education/Experience

• Minimum 2-3 years of administrative experience.
• At least one year of experience with a general contractor or architecture/engineering firm.
• Detail-oriented and punctual.
• Proficient in Microsoft Office, including Word, Excel, PowerPoint, Project, and Outlook.
• Experience supporting professionals in remote or decentralized offices.
• Working knowledge of office equipment, including phones, computers, and copiers.
• Willingness to learn specialized project software.
• Customer service experience preferred.
• Strong communication and interpersonal skills.
• Ability to work with all organizational levels in a fast-paced environment.
• Approachable, respectful, friendly, and flexible in meeting office needs.
• High school diploma or GED.

Estimated Compensation Range: $26-$30/hour*
