Overview and Responsibilities

Job Summary

We are seeking a dedicated Compensation Analyst - Payroll & HRIS to join the Rotech team. In this position you will be responsible for the administration, calculation, validation, and reporting of company-wide compensation programs, including quarterly bonus plans, sales commission plans, annual incentive programs, and other variable pay initiatives. This role also serves as the internal coordinator for the company's outsourced payroll process, ensuring accurate and timely transmission of employee and compensation data and the proper functioning of integrations between Oracle Cloud HCM, payroll, and other related systems.

The position partners closely with Finance, Human Resources, Payroll, HRIS, Operations, Sales leadership, and the outsourced payroll provider to ensure compensation and payroll processes are accurate, consistent, and in accordance with company policy. The Compensation Analyst will play a key role in maintaining compensation data within Oracle Cloud HCM, validating payroll-related data and integrations, and providing compensation and payroll reporting and analytics.

Incentive and Bonus Administration

  • Administer quarterly bonus plans, sales commission programs, and other incentive compensation plans across the organization.
  • Calculate, audit, validate, and reconcile incentive payments prior to payroll processing.
  • Ensure compensation plan calculations align with approved plan documents, eligibility requirements, and established business rules.
  • Research and resolve compensation discrepancies and payment inquiries.
  • Coordinate with Finance and the outsourced payroll provider to ensure approved incentive payments are accurately included in payroll.

Compensation and Oracle HCM Administration

  • Maintain accurate compensation-related employee data within Oracle Cloud HCM.
  • Support annual compensation planning cycles, including merit, market, and incentive processes.
  • Maintain compensation structures, plan data, eligibility information, and other compensation-related system configuration as assigned.
  • Assist with system testing, upgrades, implementations, and enhancements involving compensation and payroll-related Oracle functionality.
  • Develop and maintain compensation and payroll process documentation, procedures, and job aids.
  • Perform data audits and reconciliations to ensure the accuracy and integrity of compensation and payroll-related information.

Payroll Coordination and HRIS Integrations

  • Serve as the primary internal coordinator with the outsourced payroll provider for payroll processing activities and related data requirements.
  • Coordinate payroll processing timelines and ensure required employee, compensation, and payroll information is provided accurately and within established deadlines.
  • Monitor integrations between Oracle Cloud HCM, the payroll provider, and other related systems to ensure data is transmitted accurately and completely.
  • Review integration results, error reports, and exception files; research discrepancies and coordinate resolution with HRIS, Payroll, IT, and the outsourced payroll provider.
  • Validate compensation changes, bonuses, commissions, deductions, and other payroll-impacting transactions prior to payroll transmission.
  • Perform pre-payroll and post-payroll reconciliations to verify that compensation and employee data are accurately reflected in payroll.
  • Coordinate the resolution of payroll discrepancies and data issues with the appropriate internal teams and external payroll provider.
  • Support testing of payroll integrations and related system changes, including Oracle updates, new compensation programs, configuration changes, and other enhancements.
  • Maintain documentation of payroll processes, integration requirements, controls, and issue-resolution procedures.
  • Process manual payments as needed
  • Assist with year-end payroll activities and reconciliations in coordination with the outsourced payroll provider.

Analytics and Reporting

  • Generate compensation and payroll reports and dashboards for Finance, HR, and business leaders.
  • Prepare recurring and ad hoc reports related to compensation, bonus and incentive plan performance, and payroll-related data.
  • Analyze compensation trends, payout results, payroll data, and plan effectiveness.
  • Support budgeting, forecasting, and accrual activities related to incentive compensation programs.
  • Reconcile compensation and payroll information between Oracle Cloud HCM, the payroll system, and financial records.
  • Identify data trends, discrepancies, and opportunities for process improvement.

Compliance and Governance

  • Ensure compensation and payroll-related processes are administered in accordance with company policies and applicable federal, state, and local requirements.
  • Maintain strict confidentiality of employee compensation and payroll information.
  • Support internal and external audits related to compensation, payroll, and incentive programs.
  • Assist in developing and maintaining compensation and payroll policies, procedures, and internal controls.
  • Maintain appropriate documentation and audit support for compensation calculations, payroll data, and related processes.

Cross-Functional Partnership

  • Collaborate with HR, Finance, HRIS, Payroll, Sales, Operations, IT, and executive leadership to administer compensation and payroll-related processes.
  • Serve as a subject matter resource for compensation programs and related payroll processes.
  • Provide guidance and training to managers regarding bonus and incentive plan administration.
  • Work with the outsourced payroll provider to investigate and resolve payroll-related questions and issues.
  • Participate in compensation, payroll, HRIS, and process improvement initiatives.
  • Performs other duties as assigned

Qualifications

Required Education and/or Experience

  • Bachelor's degree in Finance, Accounting, Human Resources, or a related field, required.
  • Experience administering bonus, commission, or incentive compensation plans required.
  • Experience working with HRIS and compensation management systems required.

Preferred Education and/or Experience

  • Certified Compensation Professional (CCP) preferred.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) a plus.
  • Experience coordinating with an outsourced payroll provider or supporting payroll integrations preferred.
  • Experience with payroll interfaces, HRIS integrations, or payroll data reconciliation preferred.
  • Healthcare, home healthcare, or multi-location employer experience preferred.
  • Minimum of one year of related work experience, preferred
  • Oracle Cloud Compensation certification a plus.
  • Oracle Cloud HCM Compensation experience strongly preferred.
  • Three years of experience in compensation, incentive administration, payroll, HRIS, finance, or a related analytical role.

Skills and Competencies

  • Ability to interpret various forms of communication, including verbal, non-verbal, written, and visual.
  • Ability to perform basic mathematical calculations accurately.
  • Ability to troubleshoot data and integration issues and coordinate resolution across multiple teams.
  • Advanced Microsoft Excel skills, including pivot tables, lookups, formulas, and data analysis.
  • Capable of working independently as well as collaboratively within a team.
  • Demonstrated ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Excellent collaboration skills.
  • Experience working with large datasets and complex compensation calculations.
  • Self-motivated, organized, and able to manage time and solve problems using deductive reasoning.
  • Strong attention to detail with the ability to multi-task effectively.
  • Strong English communication skills, both written and verbal.
  • Understanding of compensation principles and variable pay programs.
  • Understanding of payroll processes, payroll data, and HRIS integrations.

  • Ability to navigate the internet and conduct online research
  • Ability to operate standard office equipment, including fax machines, copiers, printers, phones, and computers/tablets
  • Proficiency with email communication platforms
  • Working knowledge of Microsoft Outlook, Word, and Excel

  • Ability to lift and carry office equipment when needed.
  • Ability to read small print on screens and documents, requiring close vision.
