Overview

Suffolk Construction is seeking a highly organized, intellectually curious, and proactive Executive Assistant to support senior leadership across Suffolk Technologies and Suffolk's broader technology organization.

This is an opportunity to join a fast-moving, highly collaborative team in a role that extends beyond traditional executive support. While complex calendar management, travel, expenses, and meeting coordination are important components of the position, we are looking for someone who wants to understand the business, lean into broader priorities, ask thoughtful questions, and grow into an increasingly strategic partner to leadership.

The executives supported have broad and highly visible portfolios spanning Suffolk Technologies, Suffolk's technology organization, strategic planning, portfolio companies, investors, fundraising, vendors, and internal and external partnerships. As a result, the Executive Assistant will have significant exposure to different areas of the business and will need to understand how competing priorities connect.

This role could be particularly compelling for someone who ultimately wants to develop beyond the traditional EA path. Over time, there is an opportunity for the position to evolve into a broader EA role, based on the individual's capabilities, interests, and performance.

This role is based onsite in our vibrant Boston office, full time. Standard hours begin around 7:30 a.m., with some earlier starts required based on team meetings. Responsibilities

    Executive & Strategic Support

    • Provide high-level support to senior leadership across Suffolk Technologies and Suffolk's broader technology organization.
    • Serve as a trusted partner to executives with complex portfolios and significant internal and external responsibilities.
    • Develop an understanding of executive priorities across Suffolk Technologies, technology, strategic planning, portfolio companies, investors, fundraising activities, and broader business initiatives.
    • Manage highly complex and frequently changing calendars, proactively identifying conflicts, understanding priorities, and ensuring executive time is allocated appropriately.
    • Coordinate meetings involving senior executives, investors, portfolio company leaders, partners, vendors, and other internal and external stakeholders.
    • Look beyond individual calendar requests to understand the broader business context and determine what requires immediate attention.
    • Anticipate needs, identify potential issues, and proactively drive follow-up rather than waiting for direction.
    • Demonstrate the confidence and judgment to ask questions, seek context, and appropriately challenge or clarify priorities when needed.
    • Handle confidential business, investment, financial, and organizational information with discretion and sound judgment.

    Calendar, Travel & Expense Management

    • Own highly active executive calendars across multiple business areas, offices, and time zones.
    • Manage scheduling related to leadership meetings, investor conversations, portfolio company discussions, fundraising activities, vendor meetings, and internal team priorities.
    • Coordinate comprehensive domestic and international travel, including flights, hotels, ground transportation, car services, detailed itineraries, and meeting logistics.
    • Manage international travel requirements, including visas, passport documentation, and other necessary logistics.
    • Support executives with significant travel schedules and proactively adjust calendars and meetings as travel plans evolve.
    • Prepare and process expenses accurately and efficiently through Oracle, including expenses associated with domestic and international travel.

    Meeting & Team Coordination

    • Coordinate leadership meetings, team meetings, investor and portfolio discussions, offsites, department summits, and other internal and external events.
    • Prepare agendas, presentations, briefing materials, and supporting documentation.
    • Capture notes, decisions, and action items when appropriate and help drive timely follow-up.
    • Ensure executives have the appropriate context and materials before important meetings.
    • Manage meeting and event logistics, including conference rooms, technology, catering, transportation, materials, and on-site support.
    • Build strong relationships with other Executive Assistants and internal partners across Suffolk to ensure seamless coordination.

    Business & Operational Support

    • Take an active interest in understanding Suffolk Technologies' investment portfolio, team structure, investors, fundraising activities, and strategic priorities.
    • Support special projects and broader team initiatives as business needs evolve.
    • Assist with recurring reports, presentations, team communications, and executive-level materials.
    • Maintain departmental trackers, templates, files, contact lists, and organizational systems.
    • Identify opportunities to streamline administrative and operational processes.
    • Explore opportunities to leverage AI, automation, and technology to improve workflows, reduce manual administrative work, and create greater efficiency for executives and the broader team.
    • Take on additional responsibilities over time based on business needs, demonstrated capabilities, and areas of interest.


Qualifications

  • 5-7+ years relevant experience
  • Experience supporting senior leaders or working closely with executives in a fast-paced professional environment strongly preferred.
  • Demonstrated ability to manage complex calendars, travel, meetings, and competing priorities.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong proficiency in Microsoft Outlook, PowerPoint, Excel, and Word.
  • Ability to prepare, executive-ready presentations and materials.
  • Strong judgment and the ability to operate independently with limited direction.
  • High degree of professionalism, responsiveness, curiosity, and discretion.
  • Comfort working in an environment where schedules and priorities can change quickly.
  • Interest in technology, venture capital, innovation, AI, and/or business operations is strongly preferred.
  • Experience using AI or automation tools to improve workflows is a plus.
  • Bachelor's degree preferred; equivalent professional experience will be considered.


Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. Actual salaries may be based on several factors including, but not limited to, a candidate's skill set, experience, education and other qualifications.
