About the Opportunity

Are you a highly organized and detail-oriented professional with a passion for data management and administrative support? You will be instrumental in transforming raw data into actionable insights, supporting critical projects, and collaborating with various cross-functional partners. Your contributions will directly enhance efficiency and accuracy, playing a key role in the successful execution of important business processes.

Key Responsibilities



  • Prepare and set up complex spreadsheets, utilizing advanced Excel skills including basic formulas, VLOOKUPs, and pivot tables.
  • Accurately transfer data between various files to facilitate uploads into new internal systems.
  • Actively participate in training sessions to master new internal systems for data entry and allocation.
  • Engage in self-directed learning using provided resources to deepen understanding of allocation processes and system functionalities.
  • Facilitate clear and timely communication regarding new forms and processes to relevant internal teams.
  • Manage and track future launch order forms, ensuring timely follow-up with cross-functional partners.
  • Organize and transfer files for various product sets into new system upload templates, ensuring correct quantities by brand and retailer.
  • Collect and prepare "no cost" files from cross-functional partners, setting up templates for allocation entry by brand and retailer.
  • Proactively manage workload, request new assignments, and keep internal teams updated on progress.
  • Maintain and manage tracking files to provide clear status updates and progress reports.
  • Conduct daily reviews of quota violation reports, collaborating with internal teams to resolve issues.
  • Provide essential administrative and data entry support to various team members.
  • Review order form files, identify missing information, confirm readiness, and coordinate with relevant parties for completion.
  • Set up allocation files for yearly and seasonal product sets, ensuring accurate order matching for upload into new systems.
  • Manage "no cost" allocations, including samples, by accurately inputting data into the system based on strategies developed with cross-functional partners.
  • Support team members with daily administrative and managerial tasks, including scheduling, meeting coordination, data analysis, data entry, and file management.


Required Qualifications



  • 1-3 years of prior administrative experience.
  • Demonstrated solid Excel proficiency, including basic formulas, VLOOKUPs, pivot tables, and managing data across multiple spreadsheets.
  • Proficiency in MS Office Suite.
  • Excellent data entry skills with a high degree of accuracy.
  • Highly organized with exceptional attention to detail.
  • Self-motivated, proactive, and an independent worker who eagerly seeks next steps.
  • Excellent communication skills, with the ability to interact effectively with all levels within the organization.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.


Preferred Qualifications



  • Background experience in supply chain, product management, or retail environments.
  • Understanding of inventory terms and allocation processes.
  • Experience communicating and collaborating with diverse cross-functional teams.
