Job Summary
The Senior Maintenance Coordinator serves as the lead coordinator for maintenance systems, preventive maintenance compliance, documentation management, and continuous improvement initiatives within the Maintenance Department. This position is highly experienced in Computerized Maintenance Management System (CMMS), supporting maintenance operations through advanced data analysis, compliance monitoring, workflow optimization, and cross-functional collaboration.
The Senior Maintenance Coordinator provides guidance and technical support to maintenance personnel and departmental stakeholders, ensuring preventive maintenance programs, change controls, audit readiness activities, and maintenance documentation meet regulatory, corporate, and site requirements. The role drives operational excellence through system enhancements, KPI reporting, trend analysis, process standardization, and coordination of maintenance planning activities to maximize equipment reliability and compliance.
Hourly Range: $23.45-$33.00/hour
Hours: M-F; 8AM-4:30PM
Final pay determinations will depend on various factors, including, but not limited to experience level, education, knowledge, skills, and abilities.

Responsibilities
- Administers the CMMS (currently, Maximo PMWO) and logs all relevant information into database.
- Owns and maintains the Maximo database for the Preventive Maintenance module and updates all Maintenance SOP's in Documentum as required; ensuring changes that effect frequencies and new PM's that are created in CMMS reflect SOP changes.
- Works closely with QA to interpret and roll out strategies and methods to maintain compliance with agency commitments and requirements.
- Serve as the primary backup to Maintenance Leadership for administrative and compliance-related activities.
- Develop standardized reporting tools and dashboards to improve departmental visibility and decision-making.
- Generates and distributes the PM's daily to all departments and Maintenance.
- Audits the completed PMWO and SOP attachment for compliance and follows up on corrections.
- Writes extensions for near-due PM's and impact assessments for overdue PMs, then works with Quality to get approvals.
- Generates a Maximo "Daily Schedule and Compliance Report" and distributes plant wide to assist all Departments and Maintenance in meeting deadlines.
- Assists all Departments in creating new PMWOs in CMMS.
- Files and maintains PM and ECR cabinets; audits and archives all documents at years end.
- Assists with requested documents for FDA, Internal and External Audits and Investigative writers.
- TrackWise/KabiTrack qualified and considered SME (subject matter expert). Verifies ECR's/Change Control journal pages and uploads original documentation and routes for closure.
- Prints out all new annual versions of Maintenance related logbooks.
- Orders office supplies for Maintenance Department.
- Assumes additional responsibilities and provides support as required.
- The incumbent serves as a key liaison between Maintenance, Quality, Engineering, Validation, Production, and Regulatory functions while supporting site initiatives, inspections, investigations, capital projects, and continuous improvement programs.
- The Senior Maintenance Coordinator may mentor junior coordinators and administrative staff and serves as a resource for CMMS, Documentum, TrackWise/KabiTrack, and maintenance compliance processes.
- PO's and procurement activities; working with vendors of all sizes utilizing SAP/ERP system
- Maintains working knowledge of all tasks performed by Maintenance Mechanics of all levels and Group Leaders in order to successfully coordinate maintenance-related PM's and other activities.
- Facilitates/coordinates planning and scheduling of PMs and ECR work through assignments to hourly personnel, through communication with shift Lead Mechanics and/or line-ups, or through system development that accomplishes the objective of meeting targeted completion dates.
- Assists Inventory Coordinator in maintaining inventory for equipment spare parts and tools in keeping with inventory control strategies of the department. Maintains and modifies inventory in SAP database.
Requirements
- High School diploma required; Associate Degree preferred.
- Minimum 3 years coordination experience in a highly regulated environment required, preferably in maintenance capacity.
- Demonstrated leadership, project coordination, and analytical skills
- Strong organizational, interpersonal and communication skills
- Knowledge of good documentation practices required
- Experience in manufacturing or plant maintenance activities preferred
- Works independently with minimal supervision.
