Position Summary
The Institute for Global Health and Infectious Diseases ( IGHID) seeks an Administrative Support Associate to provide professional, responsive, and efficient administrative support to faculty and staff. This position ensures smooth office operations, enabling faculty and staff to focus on patient care, research, and teaching.

The Administrative Associate maintains a professional office environment, provides general administrative and clerical support, coordinates daily office activities, and ensures effective workflow and communication throughout the department.

This position provides short-term operational support to the Institute for Global Health & Infectious Diseases, with a primary focus on completing institute-wide asset inventory, facilities coordination, and related operational projects. The position will work across Institute locations to verify, document, organize, and reconcile physical assets and facilities information, coordinate follow-up with appropriate University offices, and assist with other facilities-related projects. The position will also provide backup general administrative support to the Institute's administrative team as needed.

Much of the work involves detailed, procedural, and routine administrative tasks that play a vital behind-the-scenes role in supporting research operations. The work directly supports physician-scientists engaged in discovery and innovation that shape public health policy, healthcare delivery, and disease prevention. This position offers a unique opportunity to make a meaningful contribution to improving global health outcomes through exceptional administrative excellence.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Management Preferences

  • Excellent verbal and written communication skills.
  • Ability to anticipate needs to drive the work independently.
  • Resourcefulness in navigating institutional systems and procedures.
  • Ability to approach each interaction with integrity or strong sense of responsibility.
  • Strong organizational or time-management skills to track, prioritize, or complete multiple tasks on time with accuracy.

Special Physical/Mental Requirements
Ability to perform standard office tasks, including standing, sitting, walking, and lifting light materials. This position requires regular physical activity, including moving throughout campus to deliver or set up materials and catering items. The employee must be able to move and transport supplies such as boxes of paper, food trays, and related items weighing up to 25-50 pounds. Use of carts and other equipment is available; however, the role still involves frequent bending, lifting, pushing, and walking across campus. Duties to be performed with or without accommodation.
