OPPORTUNITY: AREA MANAGER/FLOATING SR. COMMUNITY MANAGER - PALO ALTO, CA

Sares Regis Group is seeking an experienced Community Manager to manage communities in the Palo Alto area! This is an excellent opportunity for someone looking to grow their career with a great company in a convenient location!

SUMMARY

The Area Manager serves as a key operational partner to the Regional Manager, providing leadership, guidance, and support across a portfolio of communities. This role is responsible for promoting operational consistency, ensuring compliance with client expectations and program requirements, and supporting Property Managers and onsite teams in achieving performance objectives.

Acting as an extension of the Regional Manager, the Area Manager oversees operational audits, administrative processes, reporting, leasing workflow management, contract administration, renewal tracking, maintenance coordination, and resident service initiatives. The role also provides managerial coverage and hands-on operational support as needed to ensure continuity across the portfolio.

Success in this position requires a strong understanding of workforce housing principles, housing program requirements, and the unique needs of the residents. Through collaboration with Property Managers, residents, vendors, and clients, the Area Manager helps cultivate a high-quality resident experience, supports operational excellence, and contributes to the overall success of the Client's Housing Program.

Some additional duties and responsibilities include but aren't limited to:

Portfolio Operations

    Provide operational oversight and support across assigned communities to ensure alignment with company standards, client expectations, and program requirements.
  • Conduct operational audits, identify areas of opportunity, and implement corrective actions as needed.
  • Provide manager coverage and serve as a floating manager during vacancies, absences, or periods of increased operational need.
  • Monitor property performance and support continuous improvement initiatives.

Administration, Compliance & Performance

  • Monitor and audit leasing activities through Smartsheet and other designated systems to ensure timely processing, follow-up, and completion.
  • Manage leasing queues and partner with Property Managers to address workflow challenges and operational delays.
  • Support compliance with the Client's Housing Program requirements, eligibility criteria, occupancy guidelines, and administrative processes.
  • Track renewals, deadlines, and performance metrics to ensure accountability and follow-through.
  • Assist with operational reviews, reporting, audits, inspections, and client requests.

Financial & Reporting Support

  • Assist with financial reporting, budget monitoring, and operational performance tracking.
  • Support invoice review, expense tracking, and administrative processes related to property operations.
  • Ensure timely, accurate reporting and maintenance of operational records and documentation.
  • Analyze data and performance indicators to support informed decision-making.

Contract Administration

  • Support the preparation, administration, and tracking of contracts, service agreements, and related documentation.
  • Monitor contractual obligations, deadlines, and renewal requirements.
  • Assist with maintaining compliance with company, client, and program standards.

Facilities & Maintenance Support

  • Support Property Managers and maintenance teams in monitoring work order completion, vendor performance, and preventative maintenance programs.
  • Assist with maintenance-related escalations and property concerns impacting resident satisfaction, safety, compliance, or operations.
  • Conduct periodic property walks and operational reviews to ensure quality standards are maintained.
  • Coordinate with vendors and service providers as needed to support community operations.

Client, Resident & Vendor Relations

  • Build and maintain effective working relationships with residents, clients, vendors, and internal stakeholders.
  • Assist with resident concerns, service issues, and escalated matters requiring management intervention.
  • Participate in client meetings and provide operational updates as needed.
  • Promote a resident experience consistent with the values and objectives of the Client's Housing Program.
  • Escalate significant operational, resident, vendor, or client concerns when appropriate.

Leadership & Team Support

  • Serve as a primary support resource to Property Managers and onsite teams throughout the portfolio.
  • Provide coaching, guidance, and operational support to promote consistency, accountability, and achievement of community goals.
  • Reinforce company policies, procedures, and best practices.
  • Collaborate with Property Managers to ensure follow-through on audits, renewals, resident concerns, action plans, and operational initiatives.
  • Support special projects and strategic initiatives identified by the Regional Manager.

Additional Responsibilities

  • Participate in process improvement initiatives and portfolio-wide projects.
  • Support emerging operational and business needs as assigned.
  • Perform other duties and responsibilities as required to support the successful operation of the portfolio and client partnership.

QUALIFICATIONS:
* Must have excellent problem solving, interpersonal and communication skills and leadership/supervisory skills.
* Must have 3 years of property management, operations management, or multi-site leadership experienc
* Must have experience working within residential housing, workforce housing, university-affiliated housing, affordable housing, student housing, or mixed-use communities preferred.
* Must have ability to read, analyze, and interpret general business periodicals. Ability to write reports and business correspondence.
* Must have ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area. Ability to apply concepts of basic math.
* Must have ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

* To perform this job successfully, an individual should have knowledge of operations software used at the property level; Outlook, Internet software, EXCEL, and WORD

Salary range is $100,000 annually. We offer a competitive compensation package that includes a 401(K) match, rental incentive and renewal compensation, bonuses, and rental discounts depending on location. Regular full-time employees who work between 30-40 hours a week are eligible for medical, dental, vision, other voluntary benefits and vacation accrual. Sick time accrual is provided in accordance with law.
