The USC Alumni Association (USCAA) is seeking an organized, collaborative, and service-oriented Events Coordinator to help bring some of the university's most celebrated alumni events to life. Reporting to the Alumni Events Director, this role supports the planning and execution of USCAA signature events by providing logistical, administrative, and operational support throughout the event lifecycle. You'll play an important role in bringing some of USC's most recognizable alumni traditions to life-from Homecoming and Alumni Awards to Going Back to College Day to Alumni Leadership Weekend.

The Events Coordinator will support a portfolio of signature events that engage USC's nearly 500,000 alumni around the world. You'll collaborate with Advancement colleagues, campus partners, volunteers, and external vendors to create memorable experiences for the Trojan community.

This is a hybrid position under our current work arrangement plan, with the expectation of on-site presence on our main campus (University Park Campus).

Responsibilities

  • Support the planning and execution of USC Alumni Association signature events by assisting with event logistics, coordinating vendor relationships, and providing onsite event support.

  • Help coordinate event materials, including invitations, programs, signage, and website updates to ensure attendees receive accurate and timely information.

  • Assist with event setup and breakdown, including organizing event supplies, signage, and materials, and maintaining department inventory.

  • Support budget tracking and administrative processes by processing invoices, monitoring expenses, and coordinating with Finance to ensure timely payments.

  • Support vendor logistics and event details, including catering, audiovisual needs, transportation, rentals, and venue coordination.

  • Maintain the events inbox, coordinate schedules, support special projects, and assist with administrative activities that contribute to successful event planning.

  • Compile event metrics, attendance information, and participant feedback to support post-event reporting and continuous improvement.

  • Perform other duties and special projects as assigned.

Minimum Qualifications

  • High school or equivalent.

  • Combined experience/education as substitute for minimum education.

  • Two years of professional experience coordinating events, meetings, conferences, hospitality programs, fundraising events, or related activities.

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.

  • Excellent verbal and written communication skills.

  • The ability to work collaboratively with colleagues, vendors, and other stakeholders.

  • Availability to work a flexible schedule, including early mornings, evenings, weekends, and occasional short-notice events.

Preferred qualifications

  • Bachelor's degree in hospitality management, communications, business administration, public relations, or a related field.

  • Experience supporting events in higher education, nonprofit, alumni relations, or advancement.

  • Experience working with vendors and contracts.

  • Experience with a CRM (Salesforce), event registration platforms, and project management tools.

The budgeted salary for this position is up to $33.00 per hour. Minimum Skills: Experience with special events planning, fundraising management, or alumni and volunteer relations management. Experience with contracts and other legal documentation. Ability to support event planning (e.g., developing concepts, creating and estimating budgets, producing promotional materials). Experience with audio/visual equipment. Excellent organizational skills and ability to maintain multiple schedules. Excellent interpersonal and written and oral communications skills.

Understanding of all relevant state and local event regulations. Knowledge of local community. Fluent in one or more languages other than English (e.g., Spanish, Korean).
