Are you a highly organized and detail-oriented individual with a passion for product coordination and impactful communication? We are seeking a dynamic professional to step into a pivotal role that ensures our latest products reach key media, influencers, and internal teams. In this position, you will be instrumental in facilitating crucial product visibility and supporting strategic public relations initiatives, directly contributing to the brand's presence and success. Your meticulous coordination will directly impact how our products are showcased and perceived, making a tangible difference in our market engagement.

Responsibilities



  • Manage short-lead editorial requests by completing timely sample orders through the internal warehouse process, including securing samples, providing tracking, and communicating availability.
  • Prioritize multiple incoming sample requests in alignment with management.
  • Facilitate urgent product deliveries through store pulls when necessary.
  • Collaborate cross-functionally for sample borrowing to meet diverse needs.
  • Order all necessary long-lead and seeding samples via the internal product sample system, adhering to established deadlines.
  • Provide regular email updates on the status of all pending sample orders.
  • Assist in the planning and execution of product packaging and send-out processes, including product pulling, dispatch, and list management.
  • Ensure all products are accurately checked in and meticulously organized within the inventory space.
  • Manage all vendor communication and troubleshooting related to long-lead samples.
  • Maintain and update all inventory grids for seeding initiatives.
  • Oversee the organization of the product inventory, accounting for daily outgoing samples and incoming returns.
  • Deliver timely and professional communication with both internal and external contacts, including media professionals.
  • Support the creation of seeding lists for VIPs, influencers, and media opportunities.
  • Facilitate mailroom communication to resolve shipping issues.
  • Coordinate all messenger activity using the internal messenger service.
  • Process all incoming photo requests promptly through the internal photo sharing platform.
  • Actively participate in team meetings, seeding meetings, and seasonal product kick-offs.


Qualifications



  • Demonstrated ability to manage and prioritize multiple sample requests efficiently and accurately.
  • Strong organizational skills with meticulous attention to detail for inventory management and product organization.
  • Excellent written and verbal communication skills for professional interaction with internal teams, external contacts, and vendors.
  • Proven ability to collaborate cross-functionally and manage vendor relationships effectively.
  • Proficiency in managing product order processes, tracking, and updates.
  • Experience with inventory tracking and management systems.
  • Ability to work effectively in a fast-paced environment with urgent deadlines.
