NC State Study Abroad is seeking a professional to manage the finances and operations of a portfolio of study abroad programs. Reporting to the Business Officer, this position offers a unique opportunity to work closely with faculty and campus stakeholders to coordinate unique, high-impact experiential programs.

Essential Job Duties
The Program Budget Specialist supports the financial and operational success of NC State Study Abroad programs by managing a portfolio of program budgets and serving as a trusted resource for study abroad faculty leaders and program coordinators. In this role, you will help ensure the financial and operational processes that support study abroad programs are efficient, compliant, and well-coordinated, allowing faculty to focus on delivering meaningful global learning experiences for students.
Key Responsibilities:

  • Manage a designated portfolio of study abroad program budgets from planning through final reconciliation.
  • Partner with faculty leaders and Study Abroad program coordinators to develop, review, and monitor program budgets throughout the program lifecycle.
  • Coordinate financial and operational activities, including vendor contracts, vendor setup and payments, travel advances, university purchasing card transactions, faculty travel reimbursements, and other program-related expenses.
  • Prepare and facilitate documentation supporting graduate program assistant hires associated with study abroad programs.
  • Collaborate with campus partners, including the Controller's Office, to support compliance with university financial and travel policies and communicate relevant guidance to faculty and program coordinators.
  • Contribute to faculty finance training by supporting educational sessions on budgeting, reimbursement processes, and financial responsibilities for study abroad programs.
  • Provide responsive customer service and operational support to faculty, program coordinators, and campus partners to promote the successful delivery of study abroad programs.

Other Responsibilities
In addition to the core responsibilities of this role, there will be opportunities to take on additional duties.
These duties may include:

  • Managing office technology-related responsibilities, including LAN Tech coordination and related requirements.
  • Providing oversight and support for payment gateway processes to ensure effective office operations.
  • Participating in office working groups and contributing to initiatives that support continuous improvement.
  • Assisting with other departmental projects, operational needs, and duties as assigned.

Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Preferred Qualifications

  • Knowledge of budgetary principles, accounting functions, and financial data management.
  • Customer-focused communication skills, with the ability to build positive working relationships and provide responsive service to faculty, staff, students, and international partners.
  • Proven ability to prioritize workload, manage multiple work streams simultaneously from inception to completion, and deliver accurate, high-quality work within established deadlines.
  • Strong computing skills, including working with and learning new software; computer proficiency, particularly Microsoft Office Excel and Google Workspace (e.g., Sheets, Word/Docs, Gmail) experience to manage and analyze data efficiently
  • Previous experience working in higher education or customer service setting
