Job Summary

Wentworth Health Partners Cardiology provides expert care in the prevention, diagnosis, and treatment of heart disease, offering a full range of cardiology services including general and interventional cardiology, heart failure care, electrophysiology, device implants, anticoagulation management, and more.

We are seeking a full-time, 40-hour Clinic/Practice Assistant to support our cardiology practice Monday through Friday between 8:30 a.m. and 5:00 p.m.
This position is based at 19 Old Rollinsford Road in Dover, NH, with a secondary location at 67 Corporate Drive in Portsmouth, NH.

Why This Role Matters
Clinic/Practice Assistants are essential to the day-to-day flow of our community-based physician practices. In this role, you will serve as a key point of contact for patients, families, clinicians, and colleagues-helping ensure visits run smoothly, questions are routed appropriately, and each patient receives a welcoming, high-quality experience.

What You'll Do
*Greet and assist patients, creating a warm and professional first impression.
*Answer incoming calls, respond to routine inquiries, take accurate messages, and route calls appropriately.
*Schedule patient appointments, maintain appointment records, and support check-in and check-out processes.
*Process referrals, diagnostic orders, lab orders, patient forms, billing forms, and documentation for the medical record.
*Monitor patient flow and waiting room activity to help support an efficient practice environment.
*Request medical records and laboratory test results as needed.
*Open and distribute mail and faxes, scan documents, file materials, and complete general clerical tasks.
*Assist with prior authorization messages, provider questions, prescription refill requests, and test result communications.
*Support practice leadership, clinicians, and peers with day-to-day operational needs.
*Serve as a resource for scheduling, registration, and billing systems, including assisting or training others when appropriate.

While we do our best to keep employees assigned to their home practice and location, team members may be asked to float to other departments within the Wentworth Health Partners system when needed for cross-coverage, staffing support, or other extenuating circumstances.

Qualifications

What You'll Bring
  • High school diploma or equivalent required.
  • 0-1 year of healthcare office experience required.
  • Basic proficiency with Microsoft Office applications.
  • Knowledge of general office operations, procedures, and standards, including filing, copying, scanning, printing, and faxing.
  • Ability to manage phone systems, handle non-routine calls, and resolve routine issues appropriately.
  • Strong written and verbal communication skills, including the ability to compose clear messages and take complete, accurate notes.
  • Strong organization and time management skills, with the ability to balance multiple tasks and follow established protocols.
Preferred Qualifications

The ideal candidate is adaptable, detail-oriented, and comfortable thriving in a fast-paced, high-volume healthcare environment. Familiarity with medical terminology and experience or exposure to referral coordination are strongly preferred.
