Alliance Technical Group is hiring an Operations Support Specialist to join our team in Baytown, TX. The Operations Support Specialist (OSS) reports to the Operations Support Manager and assists the Operations Managers (OM) of the offices they are assigned with a wide range of administrative and office support activities to facilitate the efficient operations of those offices. Essential Responsibilities:
- Finance:
- Assist OM's with collecting Purchase Orders prior to mobilizations
- Support OM's with getting updated Purchase Orders due to delay charges or scope changes
- Assist OM's with Account Receivable efforts as assigned
- Collaborates with OMs, Business Development, and Tech Services on the Proposal finalization process as needed
- Travel:
- Makes travel arrangements for field employees within their assigned offices
- Assists with expense reports through Chrome River and fields questions from assigned employees
- Administration:
- Serve as an administrative buffer between AST Operations and ATG support service teams (HR, Safety, DOT, OPEX, IT) and the business service teams (Finance, AP, AR)
- Assists with correspondence, organizes, and summarizes information, and helps with various presentations and reports
Other Functions:
- Supports Operations Managers in assigned office(s) in other activities such as:
- Work with Fleet services to manage and maintain administrative needs for vehicles
- Order supplies needed for offices and secure equipment rentals for projects
- Act as a liaison to facility vendors (i.e., landlords, housekeeping, pest control, etc.) scheduling facility maintenance including any repairs
- Prepares, ships, and tracks outgoing packages (including hazardous shipping)
- Lends administrative assistance on various projects as required
- Performs other duties as assigned
- Collaborates with OPEX support services to create, update, and improve standard operating procedures for assigned office (s).
- Update and maintain databases including personnel training records
- Assists with the creation of process training
- Hosting assigned offices for OPEX workshops as needed
Pay Range: $20/hr Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment. Prolonged periods of sitting at a desk and working on a computer Position Type/Expected Hours of Work Must be available to work 40 hours per week. Required Education and Experience:
- High School Diploma or equivalent required. AS or BS degree preferred.
- Minimum of 1-3 years of office administrative procedures related experience, preferably in an engineering or technical field.
- Excellent written and verbal communication skills, both with internal customers and external vendors.
- Intermediate skill level, (or above), in Microsoft Word, Excel, Outlook, PowerPoint, Foxit/Adobe and Teams.
- Strong organizational skills. Must be detail oriented.
- Ability to multi-task, follow up on pending issues, meet deadlines and work independently.
- Open to change and willing to learn new skills.
