Department Marketing Statement:
The Office of Admissions is charged with assisting the campus in reaching its undergraduate admission and enrollment objectives in accordance with the University mission and campus enrollment goals. Department efforts are focused upon increasing the academic quality and diversity of the entering class while maintaining the required enrollment level. Admissions seeks to implement the campus admission goals by providing a number of services and events. Admissions promotes postsecondary education; encourages applications from historically underserved populations and schools; provides admission information to high school and community college counselors, teachers and administrators; provides admission advice to prospective freshman and transfer students; reviews and evaluates applications; develops recruitment strategies and events for admitted students; reviews coursework for transfer credit; and creates a presence on campus that is consistent with UCSB's mission and high academic standards. These services are provided by three units within the department: Visitor Center, Outreach Services, and Application Services.

Brief Summary of Job Duties:
The Business Analyst assumes overall management responsibility for planning and implementing record processing for Undergraduate Admissions, including transcripts, international documents, test score data, electronic files, and other materials required to finalize student admission records. Duties include managing the training and day-to-day responsibilities of seasonal student staff, performing quality assurance or records, and managing the efficient workflow of records through Admissions. Acts as a representative from admissions on document imaging solutions for Enrollment Services with multiple 3rd-party vendors.

Job Functions and Percentages of Time:
- 40% Management - Responsible for the coordination of the planning and implementation of processing records (transcripts, test scores etc.) for Undergraduate Admissions. Provides strategic direction and must continually re-envision the Student Services function to best meet the needs of students and the University. Manages workflow and oversees staff workload, including receipt of electronic and paper documents, test score data, and processing records for finalizing provisional admissions. Ensures appropriate cross-training of staff and work-flow. Collaborates with department managers to ensure that appropriate calendar deadlines and work products are met. With department managers, determines the appropriate level and method of service related to documents for current and prospective students. Serves as an Admissions' resource/expert adviser to staff regarding academic records.
- 25% Management and Technology Implementation - Serve as an expert user of systems and software used within the office to provide staff with necessary training, support and direction as technologies change. Maintains accuracy of data received and supports processing of data files ensuring confidentiality and security of data. Ensures confidentiality of sensitive student and enrollment data. Understands and ensures adherence to FERPA regulations. Functions as department representative to the campus team implementing all new technology for document imaging solutions for Enrollment Services. Represents Admissions on committees and workgroups as needed.
- 10% Data Coordination - Moves data from external transcripts and data feeds from other institutions into the UCSB Campus Point System. This includes courses, grades, transfer units, and various school-specific information, plus creating correct linkages to data already in the UCSB Student Records System (SREG). The process includes three complex source subsystems, each with different procedures, requirements, and techniques: A) Manages the manual data entry process in the Campus Point system. Quality control/Proof data entry work done by student employees (or staff), and quality control of the encoding of articulation agreements from the uAchieve degree audit system. B) Receiving online transcripts over the internet via SPEEDE and eTranscript CA. Analyzes workflow and troubleshoots problems on all systems. Loads bulk electronic transcript files and scores files into the system. Test systems and track changes for quality control. Assist the Data Manager & Systems Analyst in encoding and maintaining articulation agreements in uAchieve, Campus Point, and Blue. Serve as backup for the Data Manager & Systems Analyst as needed.
- 10% Production Control - Coordinates application data in an online and batch environment. Organizes and monitors all programs affecting the Admissions database and submission of data to the Office of the Registrar, Summer Sessions, UCOP and other campus entities as needed. This data is critical in providing timely, accurate and appropriate information to applicants, UCOP, UCSB administrator and academic departments. Specific duties include: a) Timely running of computer programs, both updates and retrieval as needed by the office schedules, or as directed. b) Receives, logs, and loads batch data from various application, test score and eTranscript vendors (FTP or direct scores loads). c) Reconciles new applicant data with existing data, assigns student identifiers to new records. d) Inputs data and submits programs and jobs via an online system, SIS system. Assists in writing and maintaining the production control procedures manual. e) Processes errors in the Statement of Intention to Register (SIR) online process. f) Maintains UCSB's on-line School Table system: Creates new UCSB school codes when needed. Maintains school data such as corporate UCOP code, school name and address. Reconciles and processes monthly corporate updates to data tables. Updates applicant records with appropriate school codes. Assigns school codes as requested by other departments. g) Processes application cancellations. Determines how far in the application and registration processes the applicant has progressed and cancels records appropriately. Notifies the Registrar's Office for fee reimbursement if necessary. Submission of batch job to produce decision and other automated correspondence to applicants. Verifies successful completion of letter printing for appropriate applicants and that the letter contains the correct corresponding admission decision. Collates special forms and inserts for applicants with manual admission decisions. i) Processes EAP applicants: admits, tracks, and processes SIRs for all EAP applicants approved by the EAP Central Office. h) Produces and maintains detailed process documentation for operations and systems.
- 10% Quality Assurance - a) Responsible for examining data for anomalies and potential data corruption. Use standard method to test data before it is loaded into production systems. Work individually and within groups (systems unit, customer service unit) to uphold quality standards. Researches errors and makes appropriate corrections to student and school data. Report anomalies to systems staff or directors. b) Plan, conduct and monitor testing and inspection of applicant and score data to ensure values are held constant through transitioning systems. c) Document internal audits and other quality assurance activities. Investigate customer complaints and non-conformance issues. Collect and compile statistical quality data. Analyze data to identify areas for improvement in the quality system. Quality assurance of new Admissions systems and maintenance/upgrades to existing systems. Develop, recommend and monitor corrective and preventive actions. d) New Student Profiles: Verify the accuracy of data entered into the computer system and hand written by Admission Counselors. Corrects and/or brings errors to the attention of the Admission Counselors. e) Responsible for the Data Integrity of Slate. Reviews and corrects data consolidation reports. Researches anomalies and reports data load errors to the Associate Director of Business Systems and the Manager of Information Systems.
- 5% Other - Maintains a working knowledge of the Admissions procedures and policies, including a basic understanding of admissions requirements, as well as other departments' policies and procedures as they relate to new undergraduate enrollment. Supports the Associate Director of Admissions, and Data Manager and Systems Analyst on projects or tasks as needed. Provides staff support for Spring Insight, UCSB Counselor Conference, and other recruitment/yield events as needed annually. Other tasks as assigned on an as needed basis.
