What You Will Do:

The Operations Coordinator - Communications will be responsible for supporting Undergraduate College academic operation functions and providing assistance to the Assistant Dean of Operations and Manager of Undergraduate Operations. In collaboration with the Assistant Dean of Operations, the Manager of Undergraduate Operations, and other stakeholders across the Operations Team and Undergraduate College, this position will manage academic operations for key components of the college to ensure consistent experiences across staff, faculty, and students. The Operations Coordinator - Communications will work closely with other departments internal and external to the college to effectively communicate and ensure smooth workflows for scheduling and employee onboarding. Hours may vary to include some evenings or Saturdays to support special college or university initiatives.



Essential Responsibilities

    Performs administrative support to the UGC team, monitoring the UGC Dean's Office inbox, answering/redirecting incoming calls and student inquiries, creating/editing written and electronic correspondence, arranging meetings, taking minutes, preparing and distributing agendas and/or minutes, etc.
  • Provides direct administrative support to teams in the UGC, including, but not limited to, the Undergraduate Honors Program and the Undergraduate Coaching Team.
  • Provides exemplary office management (assisting with scheduling, mail, ordering supplies and maintaining supply inventory, ensuring office equipment is functional) for Chicago and provides on-ground support for events at Chicago, as needed.
  • Supports, participates, and/or represents the UGC in college-wide and university-wide initiatives, including, but not limited to, NLU On Wheels outreach program and recognizing students' Academic Excellence in collaboration with the university.
  • Coordinates all new staff and faculty hiring and onboarding, including scheduling interviews for full-time faculty and staff; coordinating with Human Resources and college leadership to schedule, hire and maintain paperwork; complete workflow for scheduling and contracting with University Scheduling Center; manage workflows for new staff (banner, facilities, LITS Liaison, HR); and on-boarding for new staff and faculty, including announcements/bios, listservs, email groups, equipment set up, updating website etc.
  • Maintenance of the UGC Hub and UGC Website and coordinating the distribution of the UGC Bulletin, including ensuring information is up-to-date and easily accessible.
  • In coordination with the Manager of Undergraduate College Operations, provide operational support to student workers, including:
    • Assisting with recruiting and onboarding using established hiring materials
    • Assigning tasks/projects and monitoring attendance
    • Acting as a resource for questions regarding processes and procedures


Qualifications

  • Associate's Degree or equivalent required, Bachelor's Degree preferred.
  • Highly organized, collaborative and responsive, with the ability to problem solve in an evolving, fast paced environment.
  • Demonstrated skills in MS Office (including PowerPoint, Excel and Word), desktop publishing and project management required, and ability to learn new technology systems for purposes such as scheduling, mass communications, data reporting, etc. Experience will mail merging and Canva is preferred, but not required.
  • Project management experience.

The salary range of the grade for this position is $19.71 to $27.60 per hour (typical workweek for this part-time position is 20-25 hours). Compensation decisions are dependent upon the facts and circumstances of each position and candidate. Offers are based on multiple factors permitted by law, including but not limited to: budgetary considerations, job-related knowledge/skills, experience, market considerations, tenure and standing with the university (applicable to current employees), and internal equity.
