Job Summary

The Customer Care Coordinator is responsible for processing high volumes of customer orders while delivering exceptional customer service and maintaining data accuracy. This role supports order management activities, customer communications, and issue resolution through the effective use of ERP, CRM, and order management systems. The ideal candidate is highly detail-oriented, adaptable, and capable of managing repetitive, high-volume tasks in a fast-paced environment while consistently meeting productivity and quality goals.

Job Responsibilities



  • Process and accurately enter a high volume of customer orders into enterprise systems while maintaining established quality and productivity standards.
  • Review, validate, and manage customer order information to ensure accuracy and completeness.
  • Communicate with customers via phone and email to verify order details and resolve discrepancies.
  • Respond to customer inquiries regarding order status, product availability, delivery schedules, shipments, and invoices.
  • Process electronic orders and manage exceptions through designated order management systems.
  • Monitor orders throughout the order lifecycle to ensure timely and accurate fulfillment.
  • Identify and resolve order-related issues that may impact delivery timelines or customer satisfaction.
  • Escalate complex customer concerns or operational issues to management when appropriate.
  • Generate and review operational reports to monitor order volume, team productivity, and performance trends.
  • Serve as a subject matter expert on multiple ordering platforms and fulfillment processes.
  • Maintain accurate customer records and protect confidential customer information.
  • Collaborate with team members to identify process improvement opportunities and support operational efficiency initiatives.
  • Provide data entry and administrative support to customer care operations as needed.
  • Assist with training and knowledge-sharing activities within the department.
  • Participate in team meetings and contribute solutions to operational challenges.
  • Perform additional duties and special projects as assigned.


Job Requirements



  • Minimum of 2-3 years of customer service experience.
  • Minimum of 2-3 years of experience performing high-volume data entry or order processing, including processing large volumes of transactions daily.
  • Minimum of 2 years of experience working with ERP systems.
  • Minimum of 2 years of experience working with CRM systems.
  • Strong computer proficiency, including intermediate or higher-level Microsoft Office skills.
  • Excellent data entry accuracy and attention to detail.
  • Ability to work efficiently in a fast-paced, deadline-driven environment.
  • Strong verbal and written communication skills.
  • Proven ability to resolve customer concerns with professionalism, empathy, and sound judgment.
  • Strong organizational, time management, and multitasking skills.
  • Ability to adapt to changing priorities and business needs.
  • Self-motivated with the ability to work independently and meet performance goals.
  • Commitment to maintaining confidentiality and handling sensitive customer information appropriately.


Education



  • High school diploma or equivalent required.
  • Bachelor's degree preferred or an equivalent combination of education and relevant experience.


Work Experience



  • 2-3 years of customer service experience required.
  • 2-3 years of high-volume order entry or data entry experience required.
  • Experience using ERP systems required.
  • Experience using CRM systems required.
  • Experience with electronic data interchange (EDI) order processing preferred.
  • Experience working with multiple order source platforms preferred.
  • Experience supporting order management, customer care, or supply chain operations preferred.
  • Experience working in high-volume transactional environments preferred.
