Posting Summary
Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for the Division of Life Sciences - Cell Biology and Neuroscience department. This position reports to Dr. Natasha O'Brown, Assistant Professor and HHMI Freeman Hrabowski Scholar, and is administratively housed within the Department of Cell Biology and Neuroscience ( CBN).

Among the key duties of this position are the following:

  • Provides administrative and research support to assist with the day-to-day operations of the O'Brown laboratory.
  • Assists in coordinating personnel actions, including hiring and onboarding processes through SAS-UHR and HHMI systems.
  • Supports grant submissions through RAPSS and helps maintain financial records for Rutgers and HHMI accounts.
  • Assists with processing purchasing requests, reimbursements, and supply orders for Rutgers and HHMI accounts.
  • Communicates with Rutgers administrative offices (SAS, UHR, ORSP, DGCA, Procurement) and HHMI, as directed, to help ensure consistency and compliance across institutional systems.
  • Handles sensitive administrative information with appropriate discretion and in accordance with established policies and procedures.

Minimum Education and Experience

  • Bachelor's degree in a related field or equivalent combination of education and experience demonstrating strong administrative and organizational skills.
  • Minimum of two years of experience in academic or research administration.


Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Strong communication and problem-solving abilities.
  • Capacity for independent judgment.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Ability to manage confidential information with discretion and professionalism.

Preferred Qualifications

  • Familiarity with Rutgers administrative systems (HCM, RAPSS, Oracle Cloud, SciQuest) and HHMI platforms.
  • Experience with grants administration, budget tracking, and research purchasing.
  • Knowledge of Rutgers and HHMI policies and procedures related to personnel, procurement, and travel.
