Position Purpose
This position serves as the primary coordinator for New Employee Orientation, provides production support for live and online learning programs, manages engagement and ERN programming logistics, and ensures the smooth day-to-day operations of talent management communications, systems, and events.
Description
We are seeking a Program Specialist to join the Learning, Development, and Engagement team in Human Resources at Dartmouth. As a Program Specialist, you will coordinate and deliver programs, events, and operational functions that engage, develop and connect Dartmouth employees.
Required Qualifications - Education and Yrs Exp Bachelors plus 3-5 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities

  • Minimum of 3 years of experience in an administrative, program coordination, or engagement-related role.
  • Bachelor's Degree in Human Resources, Education, or related field; or the equivalent combination of education and experience.
  • Demonstrated ability to build effective working relationships across departments and with a diverse range of stakeholders.
  • Proficiency with Microsoft Office and experience managing digital platforms, registration systems, or learning management systems.
  • Strong organizational skills with demonstrated ability to manage multiple concurrent projects and deadlines.
  • Exceptional written and verbal communication skills, including experience drafting institutional communications.
  • Proven ability to work independently, take initiative, and proactively identify and resolve operational gaps.
  • Familiarity with website content management and digital communications tools.
  • Demonstrated commitment to inclusive practices and creating welcoming, accessible experiences for a diverse community.

Preferred Qualifications

  • Experience coordinating employee resource networks, affinity groups, or community engagement programs.
  • Familiarity with human resources, talent management, or employee engagement practices.
  • Experience with virtual meeting and event production tools (Zoom).
  • Experience in a higher education or large, complex organizational environment.

Key Accountabilities


Description
Manages the learning management system ( LMS) and talent management communications infrastructure; coordinates enrollment, scheduling, and system updates for all programs and platforms; maintains and updates the Professional Development website and related digital content; creates and distributes program communications, announcements, and evaluations to campus audiences; and manages the shared team inbox, triaging inquiries to appropriate team members.

Coordinates and hosts New Employee Orientation ( NEO) in collaboration with campus partners, hiring departments, and new hires; manages scheduling, logistics, and communications; administers onboarding surveys and compiles results to support program improvement; and maintains onboarding SOPs to ensure consistent and compliant delivery of policy information.

Description
Supports Employee Engagement and Employee Resource Network ( ERN), including scheduling, logistics, budget tracking, and vendor coordination; supports ERN leadership with meeting facilitation, communications, and membership management; plans and executes institutional engagement events such as recognition programs, affinity events, and community moments in partnership with the Program Manager; and liaises with ERN leaders and executive sponsors to support program continuity.

Description
Provides production support for live and online learning programs, including technical setup and facilitation support for virtual and in-person training sessions; manages registration systems and participant data to ensure accurate enrollment records; coordinates procurement of materials, vendor logistics, and event space for programs and workshops; and supports the team with operational needs for training delivery.

Description
Updates training and program materials on an ongoing basis, or as requested. This includes slide deck and facilitation material updates, website updates and maintenance, and ad-hoc requests for materials related to team engagement requests.
