Mission

As a Service & Accounting Coordinator, you are responsible for maintaining a service center's parts and service administration process and routines, providing improved communication, documentation, support and training. As well, this role is responsible for assisting the accounting department with various general accounting activities including but not limited to accounts payable and accounts receivable. Primary responsibility is to take care of our customers by ensuring accurate and timely invoicing and billing inquiries.


Your day-to-day

Service Coordinator duties:



  • Data entry into SAP, Excel, and/or other software systems as needed for various functions and reports.
  • Assist technicians with time entry to MAM2.
  • Monitor warranty orders to conclude in timely manner and update in WOL as info is requested.
  • Schedule and conduct weekly WIP meeting with service manager to ensure all open orders are closed as needed.
  • Provide administrative support for the technical support team by opening work orders, entering their time to work orders, and closing jobs performed by them.
  • Schedule shipment of parts as needed to other service centers.
  • Assist manager with any requests for capital equipment additions/customer options.
  • Approve invoices for payment through Esker, in accordance with the Company's Prokura.
  • Collect credit card payments from cash sales customers.
  • Check parts delivery status and create MyQuest tickets to expedite backordered parts from supplier.
  • Work cooperatively with Customer Service, Technical Service and Field Service groups in a spirit of teamwork to address problem areas and stimulate aftermarket sales.


Accounting Clerk Duties:



  • Responsible for invoicing of customer shipments daily.
  • Address and resolve customer inquiries regarding invoices in an accurate and timely manner.
  • Manage and perform daily and monthly transactions that may also include, check deposits, AP, AR, data entry and filing.
  • Ensures all accounting transactions comply with financial policies and procedures.
  • Other duties as assigned.


Your skills and experience

  • 2-3 years in an accounting and/or administrative role.
  • Associate degree in related field; or equivalent work experience.
  • Software skills e.g. MS Office
  • Attitude to work in a team is a must
  • Proficiency in SAP will be considered as a strong plus
  • Microsoft Office suite and PC proficiency Strong Excel skills.
  • Strong organizational, verbal and written communication skills
  • Excellent command of English is a must both oral and written
  • You have the willingness to travel if needed for trainings and/or to other Service Centers
