Job Description

Elwyn seeks an Administrative Assistant to provide support to the Children's Residential Treatment Facility (CRTF). This position also provides primary support to the CRTF Nurse Manager. Tasks for the Administrative Assistant include but are not limited to providing clerical support, performing general administrative functions, and coordinating office meetings and operations to secure efficiency and compliance to program and organizational standards.

DUTIES AND RESPONSIBILITIES:

  • Provide a welcoming environment, including but not limited to, answering all calls professionally, and timely, greeting each visitor and staff member with openness
  • Receive and direct all incoming calls in a patient, professional and courteous manner
  • Answer questions efficiently and direct or transfer to appropriate person as needed
  • Engage actively with internal and external customers to best understand their needs and requests
  • Open and sort all mail coming into the CRTF and redistribute to appropriate parties, including residents, management, parents/guardians, schools, etc.
  • Create/complete various types of correspondence as required, including but not limited to reminder letters, discharge letters, medical and school records requests
  • File documents, both paper and electronic, using established office practices and maintain filing system
  • Maintain updated email distribution lists to ensure delivery of email communications to appropriate parties
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and ordering refreshments as needed
  • Take notes during medical review meetings and provide minutes to all attendees
  • Order and maintain office, nursing and resident supplies for the program based on feedback/list from the program supervisor and medical administrator
  • Call and schedule medical appointments for all children and/or follow up appointments to ensure compliance and quality of care
  • Prepare and coordinate appointment packets and consent for treatment forms as needed. Provide directions (e.g. where to go, what time to be there) for the staff/medical administrator for external appointments
  • Track/document all scheduled medical appointments in an electronic system; create/update spreadsheets, records, and databases
  • Obtain consultative, diagnostic, and other clinical reports and submit to appropriate personnel
  • Prepare medical charts for both new admissions and pending discharges by placing documents required for medical appointments, treatment, and discharge in the appropriate locations in the file
  • Audit medical charts to assure compliance with regulatory requirements and Health Insurance Portability and Accountability Act (HIPPA) law
  • Assist with organizing, purging, and destruction preparation processes of specified medical records
  • Perform other duties as assigned

EDUCATION/EXPERIENCE/SKILLS REQUIREMENTS:

  • Associate Degree or specialized training in administrative/office work preferred
  • Two (2) years' experience in an administrative setting required, experience in a corporate/administrative setting preferred
  • Demonstrated ability to work effectively as part of a team
  • Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
  • Demonstrated strong attention to detail
  • Demonstrated strong time management and organizational skills
  • Demonstrate the ability to recommend decisions in cooperation with the direct supervision
  • Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
  • Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills and strong organizational skills
  • Demonstrated intermediate experience with Microsoft Office applications, including Word, Excel, Outlook; Elwyn electronic health records system, electronic billing systems and Microsoft PowerPoint
  • Experience using Electronic Health Record (EHR) / Electronic Medical Record (EMR) preferred
  • Must possess a current, valid driver's license in state of residence, have a minimum of two (2) years of driving experience within the United States, and have an acceptable driving record
