Aquent is partnering with a globally recognized technology leader to find a highly organized and proactive Team Administrative Assistant for a contract opportunity. This role is ideal for someone who thrives in a fast-paced environment, can manage competing priorities with discretion, and enjoys helping teams and senior leaders stay organized and productive.

In this role, you will provide administrative and operational support under the direction of senior administrative leadership. You will help manage calendars, travel, meetings, events, documents, expense reports, purchase orders, org charts, seating plans, equipment moves, presentations, reports, and internal tracking tools. The ideal candidate is detail-oriented, resourceful, comfortable with ambiguity, and able to communicate effectively with a wide range of personalities and leadership styles.

What you'll do:



  • Manage conference room calendars, travel arrangements, meetings, and event coordination.
  • Provide administrative support to a large, diverse team with varying management styles.
  • Produce, edit, and reformat documents, correspondence, reports, and presentations.
  • Prepare expense reports and purchase orders.
  • Maintain and update organizational charts.
  • Coordinate department moves, equipment moves, seating plans, and space planning needs.
  • Create high-quality graphic and text presentations, often under tight timelines.
  • Prepare special reports using complex spreadsheets.
  • Maintain ongoing reports, databases, and internal tracking tools.
  • Support inventory management through internal systems and tools.
  • Handle confidential and sensitive information with strong judgment and discretion.
  • Follow through on requests from start to completion with strong attention to detail.


Must-Have Qualifications:



  • Minimum of 3 years of administrative experience or equivalent work experience.
  • Strong organization and prioritization skills.
  • Ability to work in a fast-paced environment with ambiguity and independence.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with a variety of personalities, including senior-level executives.
  • Proven ability to handle highly confidential and sensitive information appropriately.
  • Strong initiative, follow-through, and attention to detail.
  • Proficiency with presentation, spreadsheet, and document creation tools.
  • Ability to occasionally work outside of core business hours.


Nice-to-Have Qualifications:



  • Experience creating high-quality presentations.
  • Experience with complex spreadsheets, reporting, or database tracking.
  • Experience with budget tracking, purchase orders, expense reports, or equipment tracking.
  • Experience supporting seating, space planning, department moves, or inventory management.
  • Previous experience in a large corporate or technology environment.
