Job Summary
The HR Operations Coordinator / Administrative Assistant provides operational and administrative support for Human Resources shared services within a higher education environment. This role is responsible for managing HR transactions, monitoring shared inboxes and ticket queues, supporting compliance-related activities, maintaining operational documentation, and ensuring timely resolution of employee and campus inquiries. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, service-oriented environment. Experience with Workday and higher education HR operations is strongly preferred.
Job Responsibilities
- Manage shared HR inboxes and ticket queues, including triaging, routing, and resolving routine cases within established service level agreements
- Provide first-level support for routine HR inquiries related to employee classifications, HR processes, and operational procedures
- Review active job postings to identify compliance, formatting, or quality issues and coordinate updates with appropriate stakeholders
- Support background verification processes by responding to inquiries and ensuring adherence to established procedures
- Maintain and update SharePoint sites, operational resources, templates, and HR documentation to ensure accuracy and accessibility
- Assist with maintaining and updating standard operating procedures, quick reference guides, and process documentation
- Provide operational support during peak periods, system testing, implementation activities, and project cutovers
- Support HR operations workflows, reporting, and administrative coordination activities
- Utilize HRIS and enterprise systems to process transactions and maintain accurate records
- Prepare and maintain spreadsheets, reports, and tracking documents using Excel and Google Sheets
- Collaborate with campus HR teams and internal stakeholders to ensure efficient operations and timely issue resolution
- Maintain confidentiality and handle sensitive employee information with professionalism and discretion
Job Requirements
- Minimum of 4-6 years of experience in HR operations, shared services, or higher education administration
- Experience working in higher education HR environments required
- Workday experience strongly preferred
- Proficiency with HRIS or enterprise systems
- Strong Microsoft Excel and Google Sheets skills
- Excellent organizational skills and strong attention to detail
- Ability to manage multiple priorities in a fast-paced operational environment
- Strong written and verbal communication skills
- Customer service-oriented mindset with the ability to respond professionally to inquiries
- Ability to follow established procedures and maintain operational accuracy
- Experience supporting compliance-related processes and operational workflows preferred
- Familiarity with SharePoint or similar document management platforms preferred
Work Experience
- Experience supporting HR operations, shared services, or administrative functions within higher education environments required
- Experience managing shared inboxes, ticket queues, SOPs, and operational workflows preferred
- Experience supporting HR systems, reporting, and process documentation preferred
- Prior experience with Workday business processes, reporting, or training support is a plus
