Job Summary
The Accounting Coordinator is responsible for supporting daily accounting operations through accurate processing of vendor invoices, customer payments, reconciliations, and financial documentation. This role requires strong attention to detail, organizational skills, and the ability to manage high-volume transactional processes in a deadline-driven environment. The ideal candidate will have experience supporting both accounts payable and accounts receivable functions while collaborating effectively with internal teams to resolve discrepancies and maintain accurate financial records.
Job Responsibilities
- Process and enter vendor invoices accurately into the accounting system
- Match invoices to purchase orders and supporting documentation
- Apply appropriate coding and payment terms to invoices
- Identify, investigate, and resolve invoice discrepancies, including duplicate entries
- Support month-end and year-end close activities related to accounts payable and receivable
- Respond to internal inquiries regarding invoice and payment status
- Process and post customer payments accurately, including lockbox transactions
- Reconcile payment details and ensure accurate application of customer payments
- Monitor accounts receivable aging reports and follow up on past-due balances
- Investigate and resolve payment discrepancies and customer account issues
- Communicate effectively with internal departments regarding account statuses and financial matters
- Support financial reporting and maintain accurate accounting documentation
- Maintain organized accounting records and ensure compliance with internal procedures
- Assist with additional accounting and administrative tasks as assigned
Job Requirements
- Minimum of 2 years of Accounts Payable and/or Accounts Receivable experience preferred
- Experience supporting both AP and AR functions required
- Associate's or Bachelor's degree in Accounting, Finance, or related field preferred, or equivalent work experience
- Basic understanding of accounting principles and financial processes
- Strong attention to detail and accuracy
- Ability to work efficiently in a high-volume, deadline-driven environment
- Strong organizational and problem-solving skills
- Ability to manage repetitive transactional tasks with consistency and accuracy
- Effective written and verbal communication skills
- Proficiency with Microsoft Office applications, including Excel, Word, and Outlook
- QuickBooks experience preferred
- Experience with bill.com or ERP systems is a plus
- Ability to work collaboratively within a team-oriented environment
Work Experience
- Experience processing invoices, payments, reconciliations, and financial transactions required
- Experience handling AP/AR discrepancies and customer/vendor communication preferred
- Prior experience in accounting support or transactional finance roles preferred
- Experience working in collaborative accounting or finance team environments preferred
