Currently recruiting a Medical Administration Specialist to provide administrative and contract support services for the Medical Logistics Department at Naval Medical Center San Diego in San Diego, California. Services will be provided Monday through Friday, normally between 6: 00 a.M. And 5: 00 p.M., based on department needs, with 8-hour shifts and a 30-minute unpaid lunch break. This position supports contract tracking, acquisition package preparation, internal routing, presentations, reporting, and administrative coordination in a military medical center environment.
DUTIES OF THE MEDICAL ADMINISTRATION SPECIALIST:
- Provide contract administrative support to the Medical Logistics Department.
- Develop, manage, and maintain a comprehensive tracking system for service contracts under the department s purview.
- Monitor contract periods of performance, option years, and other key contract milestones.
- Assist government personnel in preparing and assembling acquisition package documents.
- Work with departments to gather requirements and assist with drafting Performance Work Statements.
- Prepare documents for internal routing and signature by authorized government personnel.
- Ensure acquisition and routing packages are complete and formatted correctly.
- Prepare and format presentations, including PowerPoint slides, to provide contract status updates for Command Acquisition Meetings and other required briefings.
- Present contract status data during official meetings as required by authorized government personnel.
- Perform duties within the limits of the Federal Acquisition Regulation to ensure no inherently governmental functions are performed.
- Avoid making final contract award decisions, obligating government funds, or supervising government employees.
- Perform other administrative functions as assigned and within the scope of the Performance Work Statement.
- Monitor health care delivery plans, patient and beneficiary demand, market forces, and other issues affecting Military Treatment Facility capabilities, capacity, access to care compliance, and quality of care.
- Prepare presentations, project papers, staff and biometric reports, and other medical administrative correspondence for senior Military Treatment Facility management.
- Conduct studies in support of projects, programs, processes, or initiatives covering military health care activities.
- Support implementation of Military Treatment Facility policies and initiatives to improve effectiveness, efficiency, productivity, customer satisfaction, and quality improvement efforts.
QUALIFICATIONS OF THE MEDICAL ADMINISTRATION SPECIALIST:
- High school diploma or equivalent required.
- Bachelor s degree in business, finance, or a related field preferred but not required.
- Minimum of two years of experience in an administrative, office management, or contract administration role required.
- Proficiency with Microsoft Office Suite required, including Word, Excel, and PowerPoint.
- Ability to create documents, manage data in spreadsheets, and prepare presentations.
- Strong organizational, communication, and administrative coordination skills.
- Ability to support contract tracking, document management, meeting preparation, and status reporting.
- Must be able to complete required health, immunization, tuberculosis, and Hepatitis B screening requirements before providing services.
- Must be able to complete required background/security processes for access to a Navy and Defense Health Agency medical facility.
- Must be a U.S. Citizen for access to U.S. Government networks.
- Must comply with all applicable facility policies, procedures, training, safety, documentation, and patient privacy requirements.
