Job Summary
Under the primary supervision of the Assistant Director, Orientation Operations and Customer Service, the Orientation Office Coordinator is a key member of the 9-person Orientation team and the broader New Student Programs (NSP) team. This role oversees the administrative processes involved in the development, implementation, and evaluation of the campus-wide Orientation experience that encourages the successful, holistic transition of over 9,500 incoming, undergraduate first-year and transfer students and their parents and supporters annually.
Responsibilities include: work with complex policies and fees, procedures, and registration systems including Aggie 101; provide analytical and administrative support for the Orientation program including fiscal transactions, project and resource planning, reports; work collaboratively in a team environment; develop, evaluate and provide primary customer service for guests; develop and provide central communication and resource point for students, staff, and visitors; assist in day-to-day operations of the Orientation program; maintain key/access control and occupancy data; This position recruits, hires, supervises and trains 15 student orientation assistants; delegate and manage workload and create an employment environment focused on inclusion. - High school diploma or equivalent experience.
- Experience working in a customer service driven business office environment, serving diverse audiences, to interpret, analyze and communicate in person, via email, and over telephone information, policies and guidelines; experience being adaptable, learning quickly and independently; utilize MS Office, accounting and graphic presentation software, word processing, Qualtrics and Box platforms.
- Experience hiring, supervising, directing training, providing feedback and corrective action for college student employees.
- Project coordination experience with day-to-day operations: determine competing workload priorities, establish and effectively meet deadlines, goals and objectives in a fast-paced, high-volume, busy environment.
- Experience managing and scheduling multiple calendars, scheduling meetings with large groups of people.
- Experience compiling, synthesizing and articulating large amounts of data into summaries (minutes) and detailed reports, graphs, images; experience with spreadsheets, databases, word processing, financial applications.
- Experience maintaining confidentiality, privacy and secure records relevant to financial transactions, student records and other sensitive documents, adhering to FERPA, cybersecurity policies and other privacy laws.
- Interpersonal, teamwork, oral, written, communication skills, to interact effectively and tactfully, maintain positive working relationships with individuals, campus units, external vendors and guests from diverse cultural backgrounds and perspectives to build mutual respect, fairness and inclusion to accomplish job functions.
Preferred Qualifications
- Bachelor's degree in social sciences, humanities, sciences, arts, engineering or business from an accredited institution.
- Experience using the Aggie Travel and Aggie Buy systems, BANNER, the UC Davis Financial Information System (DaFIS), including Transaction Processing and Decision Support.
- Experience using the Aggie Enterprise and Aggie Expense systems, BANNER, TRIRIGA; basic accounting experience to ethically monitor expenditures/accounts

Department Overview The UC Davis New Student Programs department is responsible for the coordination and implementation of the Student Affairs New Student Orientation and First Year Experience programs for new undergraduate students and their families and supporters. New Student Programs (NSP) is a self-supporting auxiliary, within Student Success & Equity Innovation (SSEI), Division of Student Affairs. NSP provides orientation, transition, academic and retention support to approximately 10,000 first-year and transfer students, as well as resource support for their parents and supporters. Work Environment UC Davis is a smoke and tobacco free campus effective January 1, 2014.
