Salary Grade : 14 SUMMARY: Provides administrative and secretarial support to a small group of Commercial Lenders. Prepares and coordinates commercial lending documentation and processing within strict regulatory guidelines. Provides outstanding customer service. Collaborates closely with third party vendors (attorneys, appraisers) and Bank departments such as the Loan Operations department. Participates in commercial lending and bank-wide projects. ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES: Administrative
- Provides a variety of administrative and secretarial duties related to the Commercial Lending function: commitment letters, loan documentation, customer correspondence, loan advances, faxes, scanning, and photocopies of materials, mail screening and processing, purchasing of supplies, ghost-writing of letters for lenders, credit memos, loan proposals, designing and entering data into spreadsheets for Lenders. Maintains various database reports including the financial statement tracking report, pipeline report, UCC tracking, and overdrafts.
- Provides outstanding customer service that results in customer retention and customer referrals. Takes initiative in providing customers with collateral materials on Bank products.
Liaison
- Serves as a liaison between lenders and customers, attorneys, appraisers, internal departments, and other parties as necessary when lenders are unavailable or are out of the office. Responds to inquiries within area of authority and resolves problems as appropriate.
- Serves as a liaison between lenders and loan servicing functions to help answer customer inquiries and help streamline workflow. Develops strong working relationship with these departments.
Loan Documentation and Processing
- Prepares loan documentation for review by the respective lender as necessary. Loan documentation includes: Loan notes, mortgages, security agreements, loan agreements, UCCs, borrowing authority, compliance documents, etc.
- Follows strict regulatory guidelines. Remains up-to-date on Bank loan policy and compliance issues.
- Assists lenders in processing loans by securing bids for appraisals and other contractual work required through the Real Estate Review department.
- Utilizes MS Office applications at an advanced level.
- Utilizes commercial computer software: Documenter, First Search Environment, Access, Excel, etc.
- Tracks and expedites loans from inception through closing process.
- Prepares loan proposal memorandums and loan file memorandums.
- In coordination with the Real Estate Review department, monitors construction loan progress and prepares appropriate spreadsheets; completes budget and loan funding balancing.
- Coordinates loan closings and/or meets with customers in the lenders absence.
- Complete required paperwork for post closing, wraps loan and sends to Loan Operations for booking, usually within two weeks of closing.
Project Coordination
- Assists with projects assigned by the Senior Lending Officer and Regional Manager.
- Participates on project committees.
- Coordinates department attendance in regional meeting: ie CC Chamber, Hyannis Chamber, SEED.
- In the Hyannis branch, set up meetings (ie conference phones, projectors), reserve space, order and set up food and beverages.
- Performs special projects and other duties as requested.
QUALIFICATIONS: EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)
- Associates degree or equivalent.
KNOWLEDGE, SKILLS & ABILITIES:
- Minimum of three years administrative and secretarial experience and exposure in lending and banking operations with an emphasis on commercial lending.
- Prior retail Banking experience (platform) a plus.
- Prior experience using Banker Insight a plus.
- Strong attention to detail, organizational and communication skills.
- Ability to work within strict deadlines.
- Computer experience required with a demonstrated proficiency (at least at an intermediate level) in word processing and spreadsheet software.
