The Division of Digital Learning is responsible for leveraging innovative educational technology in support of UCF's mission, with a particular emphasis on exploring pioneering ways to positively impact student access, enrollment, success, time to graduation, the cost of providing an education, and the quality of the learning experience.

The Opportunity:

The Division of Digital Learning (DDL) at UCF is seeking a dynamic Event Manager I to lead the planning and execution of high-impact events that support innovation in teaching and learning. This role serves as the primary project manager for a diverse portfolio of events, ranging from large-scale conferences to internal programs, ensuring seamless coordination across teams, vendors, and stakeholders. The ideal candidate thrives in a fast-paced environment and brings both strategic planning and hands-on execution to every event.

The ideal candidate is highly organized, collaborative, and adaptable, with the ability to manage multiple events simultaneously while maintaining attention to detail. This position plays a key role in shaping events that bring together faculty, staff, and external partners across the university and beyond.

This is an Auxiliary (AUX) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:


  • Collaborate with departments across the Division of Digital Learning to plan and execute meetings and special events, including participating in planning discussions and coordinating multimedia and technical requirements.

  • Serve as the lead for both virtual and in-person events, directing all aspects of execution and acting as the primary liaison between clients, vendors, and venues.

  • Chair or co-chair event planning committees and serve as the project manager for logistics, timelines, site selection, and overall event coordination.

  • Coordinate and support planning committees by scheduling participants, delegating tasks, and ensuring progress toward event milestones.

  • Develop and manage event budgets in collaboration with leadership, including forecasting, tracking expenses, and producing budget reports.

  • Collaborate with communications partners to review and support event-related marketing and promotional materials.

  • Manage event systems and software, including registration, ticket tracking, and reporting tools.

  • Ensure compliance with university policies, procedures, and applicable regulations related to events.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • 3+ years of experience planning and executing events from concept through completion, including ownership of logistics, timelines, and overall event strategy.

  • Experience planning events in higher education, corporate, or nonprofit environments.

  • Demonstrated experience managing multiple events simultaneously, with strong organization and prioritization skills.

  • Proven ability to lead or facilitate cross-functional planning committees, working collaboratively with internal and external stakeholders.

  • Proficiency with event management platforms (Sched, Cvent, Eventbrite, or similar) and project management tools (Asana or similar).

  • Experience managing event budgets, vendor relationships, and contracts.

  • Demonstrated knowledge of or familiarity with AI tools and technologies, with the ability to support events focused on emerging technologies.

Special Instructions to the Applicants:

The anticipated salary range for this position is $48,733-$51,000. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.

Position requires a valid Class E driver's license. This position may involve driving to various locations on and off campus to conduct University business.
