Are you a highly organized and proactive professional ready to make a significant impact on high-stakes projects within a dynamic entertainment environment? We are seeking a dedicated individual to provide essential administrative support to a senior leader, ensuring seamless operations and strategic alignment across critical initiatives. In this pivotal role, you will be instrumental in maintaining production clarity, optimizing workflows, and enabling the efficient delivery of groundbreaking entertainment experiences to millions worldwide. Your meticulous attention to detail and ability to anticipate needs will directly contribute to the success of major product launches and the evolution of beloved franchises.

**Key Responsibilities:**

* **Strategic Calendar Management:** Own and optimize the senior leader's complex calendar, strategically aligning time with production priorities, milestone gates, sprint reviews, partner reviews, and cross-functional synchronization meetings. Proactively anticipate critical periods, vendor dependencies, and integration pressures to ensure smooth operations.

* **Meeting & Milestone Support:** Facilitate structured milestone reviews by ensuring materials are consolidated, decisions are captured, and action items are meticulously tracked across leadership teams. Support the distribution of pre-read materials and follow through on execution forums.

* **Cross-Functional Coordination:** Partner with various internal teams, including production, business operations, and studio operations, to maintain clarity and alignment across diverse workstreams. Coordinate engagements with vendors and external development partners as needed, and support integration efforts with central teams.

* **Operational Excellence:** Maintain essential distribution lists and communication routing for production forums. Track and manage offsites, production summits, and key milestone events. Oversee travel arrangements and high-visibility engagements tied to production reviews.

* **Proactive Risk & Bandwidth Management:** Identify and surface potential conflicts, duplications, or excessive meeting demands that could dilute focus on delivery. Escalate issues appropriately while maintaining discretion and actively protect the senior leader's bandwidth during critical production phases.

**Required Skills & Experience:**

* 5 to 8+ years of experience providing administrative support to Director or Senior Director-level leaders within complex organizations.

* Strong understanding of milestone-based development cycles.

* Exceptional prioritization and organizational judgment, with a keen eye for detail.

* Demonstrated ability to maintain high confidentiality and emotional intelligence.

* Proven capacity to operate independently and effectively in ambiguous, fast-paced, and deadline-driven environments.

* Proficiency with modern administrative tools for calendar management, travel arrangements, expense reporting, document sharing, and communication platforms.

**Preferred Skills:**

* A degree in business administration, project management, or psychology.

* Experience in entertainment, technology, film production, or live service environments.
