Administrative Assistant III (Contract)
Summary
A leading global investment management organization is seeking an experienced Administrative Assistant III to provide high-level administrative support within a dynamic and fast-paced environment. This role requires exceptional organizational skills, sound judgment, strong attention to detail, and the ability to manage multiple priorities while supporting senior leaders and cross-functional teams. This is a 6-month onsite contract opportunity located in New York, NY.
Key Responsibilities
Executive & Administrative Support
- Manage complex and frequently changing calendars while effectively prioritizing schedules and requests
- Coordinate internal and external meetings, including conference room scheduling, visitor access, meeting logistics, and supporting materials
- Welcome and assist visitors, candidates, and business partners
- Draft, prepare, and distribute correspondence, reports, presentations, and meeting documentation
- Maintain organized electronic records and documentation systems
Travel & Expense Coordination
- Arrange detailed domestic and international travel, including multi-destination itineraries and schedule coordination
- Support travel-related requirements such as visas, passports, Global Entry, and TSA PreCheck
- Prepare comprehensive travel itineraries and assist with pre-departure logistics
- Process and reconcile multi-currency expense reports using Concur and other expense management systems
Reporting & Operational Support
- Maintain departmental and compliance-related reports and tracking tools
- Gather, compile, and organize internal or market-related information for reporting purposes
- Create charts, graphs, tables, and presentation materials for business reporting
- Assist with basic analysis, auditing, and administrative reporting tasks
- Support department meetings, team events, and special projects as needed
Collaboration & Process Improvement
- Provide backup support for peer assistants and collaborate across teams
- Stay informed on internal administrative processes, tools, and best practices
- Identify opportunities to improve workflows, organization, and operational efficiency
- Participate in project teams, initiatives, and focus groups when required
- Exercise discretion, professionalism, and sound judgment when handling confidential information
Qualifications
- Previous administrative or executive support experience in a professional corporate environment
- Strong calendar management, meeting coordination, and travel planning experience
- Experience managing expense reports and financial reconciliation processes
- Proficiency with Microsoft Office Suite, Concur, and business systems/tools
- Excellent verbal and written communication skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage competing priorities and adapt in a fast-paced environment
- Demonstrated professionalism, discretion, and problem-solving capabilities
- Ability to collaborate effectively with teams and senior stakeholders
