What to Expect
We are seeking a proactive, detail-oriented, and systems-minded Work Area Coordinator to join our CapEx/OpEx project execution team. This role is the operational backbone of project delivery - ensuring seamless transition from planning to execution, and driving execution excellence from kickoff to commissioning.
Once the Project Planner finalizes the execution plan and hands it off, the Work Area Coordinator takes full ownership of the project's execution lifecycle. You will serve as the central point of coordination between Project Planners, Technical Program Managers (TPMs), Operations Leads & Specialists, Lead Technicians (Mechanical, I&E), and Safety & Compliance teams.
Your mission: prevent delays, escalate issues early, identify and close execution planning gaps, and ensure commissioning readiness - all while maintaining full visibility and accountability.
This is not a technical role - it's a systems, communication, and execution leadership role that enables high-performing teams to deliver on time, safely, and with quality.
What You'll Do
- Own end-to-end execution ownership: Take full responsibility for project execution from plan handoff to closeout, ensuring all resources, materials, safety documentation, and tools are ready and verified before mobilization
- Bridge planning and field execution: Act as the critical link between Project Planners, TPMs, Operations Leads, and field teams - ensuring plans are realistic, complete, and aligned with on-the-ground feasibility
- Proactively identify and resolve execution risks: Monitor work progress, material flow, tool availability, and safety compliance in real time; escalate gaps (e.g., missing specs, design conflicts, access delays) with clear impact and mitigation plans
- Drive issue resolution with accountability: Partner with leads and TPMs to develop, track, and close action items for execution blockers, ensuring timely resolution and documented follow-up
- Ensure commissioning readiness: Maintain and track project-specific commissioning checklists, verifying test readiness, documentation completeness, and sign-offs across all phases
- Lead daily coordination and communication: Facilitate structured huddles, prepare agendas, capture decisions and action items, and distribute concise summaries to keep all stakeholders aligned
- Maintain accurate execution records: Guarantee all work orders, material usage, test records, and field changes are promptly and accurately recorded in CMMS and other systems
- Improve planning through field feedback: Provide actionable insights to planners on plan gaps, sequencing issues, missing P&IDs, ambiguous specs, or unapproved changes - helping refine future plans and reduce rework
- Champion continuous improvement: Serve as a feedback loop between field execution and planning teams, promoting process enhancements, template updates, and lessons learned for organizational learning
- Support seamless project closeout: Deliver comprehensive handover packages, final reports, and documented lessons learned to ensure knowledge retention and operational continuity
What You'll Bring
- 2+ years of experience in operations coordination, project support, or field logistics within industrial, manufacturing, or construction environments
- Proven ability to manage multiple projects or work areas simultaneously with precision, accountability, and attention to detail
- Proficient in CMMS systems (SAP, Maximo), Microsoft Office, and collaboration tools (Teams, Slack, Smartsheet)
- Strong understanding of the full project lifecycle: planning mobilization execution commissioning closeout
- Experience supporting commissioning, startup, or operations readiness activities in high-velocity environments
- Skilled in cross-functional collaboration with TPMs, operations leads, engineers, and planning teams
- Detail-oriented and proactive, with a track record of driving execution in fast-paced, dynamic settings
- Familiarity with risk registers, issue logs, change control, and continuous improvement (CI) practices
- Experience supporting lean initiatives, KPI tracking, or operational efficiency improvements
- Degree in Business, Operations, Engineering Technology, or related field preferred, or equivalent experience
Essential Physical Demands:
- Must be able to lift 50 lbs., work in confined spaces, and stand for extended periods
