Position: Administrative Assistant

Location:Lexington, MA (Hybrid)

Length:3+ Year Contract

Job Description:

Are you a detail-oriented and organized professional with a passion for talent acquisition?


Essential Duties and Responsibilities:

Provides administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Answers and directs phone calls. Organizes and schedules meetings and appointments. Maintains contact lists. Produces and distributes correspondence memos, letters, faxes and forms. Assists in the preparation of regularly scheduled reports. Develops and maintains a filing system. Books travel arrangements. Submits and reconciles expense reports. Provides general support to visitors. Provides information by answering questions and requests. Takes dictation. Researches and creates presentations. Handles multiple projects. Prepares and monitors invoices. Develops administrative staff by providing information, educational opportunities and experiential growth opportunities. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Qualifications:

  • Organized & Detail-Oriented: You have excellent administrative skills, strong attention to detail, and the ability to manage multiple priorities.
  • Tech-Savvy: Experience using applicant tracking systems (ATS) and proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
  • Strong Communicator: You have great interpersonal and written communication skills, making interactions with candidates and hiring teams seamless
  • Proactive in your day to day work; go above and beyond, anticipating needs of the program and leadership and recommending updated processes and procedures
  • HR Knowledge & Experience: A high school diploma (or equivalent) and at least 3 years of experience in an administrative role.

Preferred:

  • Previous experience supporting recruitment activities within a Human Resources department and/or experience providing recruiting support in an agency setting.

  • Familiarity with automated resume tracking systems (Successfactors) and HR software as well as vendor management systems (Fieldglass)
  • Understanding of contingent labor and how it augments a company's workforce
