Job Description

The Senior Executive Assistant manages complex scheduling and communications, coordinates major institutional initiatives and events, and oversees operational functions of the Chancellor's Office and residence. The role requires exceptional organizational skills, discretion, independent judgment, and the ability to manage multiple high-priority projects simultaneously. The position also provides leadership in coordinating campus requests, executive searches, governance support, and key university events while ensuring efficient daily operations of the Chancellor's Office.

Key Responsibilities:

  • Provide coordination, planning and follow through for Chancellor led priorities.
  • Manage membership records for Chancellor special committees.
  • Oversee the Delegation of Authority process.
  • Coordinate and monitor University policy review and oversight processes.
  • Support executive decision-making by gathering information, preparing summaries, and coordinating follow-up actions
  • Coordinate logistics for executive leadership searches, including scheduling interviews, coordinating candidate visits, and managing search committee needs.
  • Mange the reception activities and space of the Chancellor's Office in an organized, aesthetically pleasing manner. Interface with dignitaries and potential donors with a high level of respect and influence.
    • Answer departmental phone calls, screen requests, and route inquiries appropriately.
    • Maintain office supply inventory and coordinate purchasing as needed.
    • Oversee day-to-day office operations and ensure a professional and efficient working environment.
    • Maintain the physical appearance of the Chancellor's Office, submit work orders accordingly and arrange for appropriate decor.
    • Manage reservations for the Kummer Board Room.
    • Complete required reporting such as the Missouri Ethics Commission lobbyist report.
    • Submit annual inventory reports for the Chancellor's Office and the Chancellor's Residence.
  • Utilize discretion and strategic thinking to monitor and manage the Chancellor's email and calendar, prioritizing appointments, meetings, and requests. Review and approve Chancellor appearance requests and coordinate related logistics. Prepare briefing materials, background information, and talking points for meetings, presentations, and events.
  • Oversee updates to the Chancellor's website, ensuring timely and accurate information.
  • Coordinate information requests, reports, and communications originating from the Chancellor's Office.
  • Ensure messaging and materials align with institutional priorities
  • Manage and coordinate campus requests directed to the Chancellor's Office, ensuring appropriate review, routing, and follow-up.
  • Serve as a central point of contact for campus units interacting with the Chancellor's Office.
  • Lead planning and execution of major internal Chancellor associated events such as:
    • Holiday Brunch
    • Celebration of Nations Brunch
    • Ice Cream Social
    • Chancellor Hosted Dinners
    • All other Chancellor-hosted events
  • Coordinate all VIP visits, including travel arrangements, lodging, catering, transportation, and hospitality.
  • Manage gifts and event logistics for dignitaries and special guests.
  • Support Board of Curators visit logistics and related event coordination.
  • Manage reservations, catering, and transportation for Chancellor-hosted meetings and events.
  • Ensure all events reflect a professional and welcoming representation of the university
  • Oversee operations of the Chancellor's Residence, including coordination of maintenance, events, and hospitality activities.
    • Maintain inventory and coordinate facilities or maintenance needs at the residence.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Bachelor's degree in business management, communications, finance, marketing or other related area
  • At least 4 years of experience with high level executive support and project planning
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $52,916-$74,485 annually.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
