The University of Wisconsin-Platteville invites applications for a full-time Administrative Assistant for the Pioneer Farm within the School of Agriculture. General responsibilities include assisting with financial and production record-keeping; providing administrative support to Pioneer Farm operations; assisting the Director of Pioneer Farm; supporting Pioneer Farm faculty, staff, and students; managing the West Farmhouse student housing; and participating in professional development activities.

Key Job Responsibilities:
  • Coordinate purchasing, invoicing, deposits, and financial record keeping for Pioneer Farm and associated accounts, including maintaining records in Workday (our Business Management System) and internal systems.
  • Serve as liaison with campus partners (e.g., purchasing and cashier's office) and staff regarding financial transactions and inquiries.
  • Assist with maintaining farm production, inventory, and reporting records and data
  • Serve as the primary point of contact for Pioneer Farm, including responding to phone, in-person, and electronic inquiries and directing requests.
  • Coordinate facility scheduling, mail distribution, and general office operations, including supplies and service requests.
  • Support student employment processes in Workday, including hiring, time entry, review, and payroll record maintenance.
  • Provide administrative support to the Director, including managing correspondence, scheduling, preparing materials, and recording meeting minutes.
  • Support communication and coordination among Pioneer Farm faculty, staff, and students, including participating in meetings and sharing relevant policy and operational updates.
  • Coordinate logistics for events held at the Ag Technology Center, including scheduling, communication with event organizers, and oversight of setup and post-event activities.
  • Oversee West Farmhouse student housing operations, including student communication, lease management, assignments, payments, and coordination of maintenance needs.
  • Maintain proficiency in required systems and participate in professional development opportunities to support ongoing effectiveness in the role.
  • Develop, maintain, and monitor administrative and recordkeeping systems to support operational effectiveness and compliance with university policies and procedures.

Required Qualifications:

  • High School diploma/GED.

  • Administrative, office support, or customer service experience preferred.

  • Strong written and verbal communication skills (in person, phone, and email).

  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) or ability to learn.

  • Attention to detail and accuracy in record keeping and data entry.

  • Ability to work independently and as part of a team.

  • Ability to follow procedures and maintain confidentiality.
