Job Description

This role serves as the departmental point of contact, coordinating requests, preparing documentation, and providing business and operational context, while relying on the Finance Shared Services Team for transactional processing, system entry, compliance review, and policy guidance. Together, this partnership ensures financial activities are executed accurately, timely, and in alignment with university policies and procedures.

1. Office Contracts/Honoraria:

  • Serve as liaison between the faculty, staff, production managers and contractors, for the production and payment for all contracts, and honorariums.
  • Collect all information to produce contracts for guest artists/vendor requests
  • Prepare contract, checklist, PaymentWorks process and send to artist/vendor
  • Upload artist/vendor signed contract to the University contract portal
  • Collect fully executed contract, checklist, PaymentWorks, and any other necessary information to financial services to set up as a vendor and to prepare payment
  • Notify artist/vendor, and appropriate faculty of the completion of contract and payment

2. Purchasing:

  • Serve as primary faculty/staff liaison for Conservatory orders related to productions, music rental/purchase, classroom materials, and any other orders as directed
  • Follow through with the delivery and distribution of all orders
  • Return all rental music and any other rented materials
  • Reconcile personal One-Card in a timely manner and be a good steward of university funds

3. Budget & Financial Administration

  • Assist with tracking departmental budgets and expenses
  • Support grant documentation and financial reporting

4. Administrative & Executive Support

  • Assist Associate Dean for Operations with duties as assigned
  • Assist Division Chairs of Theatre and Dance with duties as assigned

5. General Expectations

  • Ability to communicate effectively with UMKC personnel.
  • Exercise independent judgment and prioritize tasks effectively
  • Ability to work independently and able to handle multiple projects, simultaneously.
  • Organizational skills to effectively manage documents, calendars, information meetings and events.
  • Strong attention to details, excellent oral and written communications skills to accurately and succinctly summarize information into an organized and easily understood format.
  • Considerable knowledge of standard office administrative and clerical practices and procedures. Proficient with Microsoft Office Products, including Word Excel, Outlook, and Teams. Proficient ability to use these programs to support correspondence, manage membership and committee lists.
  • Maintain professionalism, confidentiality, and strong customer service
  • Foster an inclusive and collaborative work environment
  • Manage multiple responsibilities with attention to detail and organization

Responsibilities outlined in sections 1-3 (Office Contracts/Honoraria, Purchasing, Budget & Financial Administration) are performed in close collaboration with the UMKC Finance Shared Services Team.

Shift

Full-time, benefit eligible position at 40 hours per week.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Well organized, detail-oriented candidate.
  • Collaborative and supportive of faculty, student, staff and department chairs
  • Positive Conservatory Ambassador with outside vendors and guests
  • Knowledge of Music, Dance, and Theatre artforms is not required but appreciated.
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $15.00 -$18.00 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
