Overview

POSITION SUMMARY:

This position is responsible for scheduling patient appointments and tests in an efficient and timely manner. Answer incoming calls and directs calls to appropriate personnel as needed. Serves as a liaison between patients and medical staff. May be designated as the lead employee. May orient, train and assign the work of other employees as requested by supervisor. Supports and adheres to the Cancer Care Northwest Compliance Program, to include the Code of Ethics and Business Standards.


Responsibilities

RESPONSIBILITIES:

Answer all incoming calls; assesses callers needs and directs to appropriate personnel. Pages clinic personnel as appropriate. Obtains and communicates messages in an accurate and timely manner. Schedules outpatient appointments, referrals, testing, hospital surgeries and hospital admissions upon request. Obtains necessary pre-certification as required.

  • Schedules return appointments in computer system in accordance with physician and/or office guidelines. Cancels/reschedules appointments according to physician schedule changes and in accordance with office guidelines; notifies appropriate clinic personnel.
  • Notifies appropriate personnel when authorizations are needed for services scheduled.
  • Handles new patient referrals, gathers necessary information, registers new patients in computer and schedules appointments.
  • Collect co-pays, deductible and other out of pocket amounts at time of visit as needed.
  • Maintains primary office scheduling book containing all physician meetings, satellite schedule, vacations and on-call coverage.
  • Handles incoming phone calls from patients needing to schedule or reschedule appointments in accordance with office guidelines.
  • Provides patients with accurate and legible appointment cards. Documents no shows in patients' chart for missed visits. Follows up with patient to reschedule any missed appointments.
  • Arranges for patients to have financial counseling as needed.
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/corporation.
  • Follow policies and procedures to contribute to the efficiency of the front office. Covers for other office functions as requested.
  • Handles correspondence, memos, forms and emails as requested by supervisor.
  • May provide guidance and daily work directions to other employes as requested by supervisor.
  • Performs all other duties/responsibilities as necessary or assigned.

Qualifications

Minimum Qualifications:

  • High School diploma or equivalent required. Some college preferred.
  • At least two (2) years of directly related experience such as medical coding or billing, patient advocate, or social services, required.
  • Must demonstrate the ability to verbally articulate information and questions with others in order to perform responsibilities effectively.
  • Must be personable. Proficiency with computer systems, medical billing systems, and Microsoft Office Outlook & Word, required.

Physical Demands: To perform this job successfully, an individual must be able to:

  • Regularly: sit, grasp, reach, talk and hear
  • Occasionally: stand, bend, stoop/crouch, lift up to 30 pounds, pull/push up to 30 pounds, and carry up to 30 pounds
  • Vision: Clearly see up to 5 feet with or without corrective lenses

Work Environment: While performing the essential duties/responsibilities of this job, the employee will not be exposed to any workplace environmental conditions caused by extreme noise, heat, cold, workplace hazards, atmospheric dusts/fumes/vapors/mists, pathogens, or toxic chemicals.

Salary DOE - $22.33 - $33.30
