Responsibilities:

The Executive Associate is a key partner to leaders and staff across PHS, providing highlevel administrative, analytical, and confidential support. This role manages a diverse workload that requires strong judgment, adaptability, flexibility, and accountability. It's ideal for someone who thrives in a fastpaced environment, takes initiative, and works independently while contributing to a collaborative team.

What You'll Do
  • Coordinate and attend meetings, Board Committees, and PHS Councils; prepare materials and capture meeting minutes.

  • Develop and maintain systems to track performance measures and key departmental metrics.

  • Communicate and coordinate executive instructions with internal stakeholders.

  • Support leadershiplevel projects through planning, coordination, and followthrough.

  • Prepare correspondence, reports, presentations, and other professional documents.

  • Manage calendars, schedule appointments, coordinate events, and arrange travel.

  • Provide excellent customer service to patients, members, employees, and the public.

  • Assist with budget and expense processing as needed.

  • Maintain policies, records, and departmental documentation.

  • Coordinate the work of others when assigned.

  • Support database management and related administrative functions.

  • Stay knowledgeable about department activities and provide operational support across assigned areas.

Qualifications:

  • 5-8 years of experience in executivelevel administrative or secretarial roles.
  • Exceptional organizational, communication, and interpersonal skills.
  • Ability to work effectively with staff, leadership, and the public, even in highpressure situations.
  • Proven ability to manage multiple priorities and maintain accuracy in a fastpaced environment.
  • Strong judgment and the ability to plan, prioritize, and organize a diverse workload independently.
  • Demonstrated professionalism, confidentiality, and analytical capability.
  • Highly adaptable, flexible, dependable, and accountable.
  • Selfmotivated with strong initiative, independence, and selfdiscipline.
