What you'll do

We are seeking a high-caliber, strategic, and proactive Sr. Executive Assistant to serve as a critical force multiplier for our Chief Operating Officer (COO). In this pivotal role, you will do far more than manage day-to-day operations-you will act as the COO's strategic partner, helping to drive organizational efficiency, champion company culture, and inspire team morale.

You are a forward-thinking problem solver who thrives in a fast-paced environment, anticipates needs before they arise, and executes high-stakes deliverables with absolute precision.

As the primary liaison for the COO, you will direct day-to-day executive operations for COO, manage complex global calendars across multiple time zones with strategic prioritization, manage complex internal and external stakeholder relationships, partner with executive staff to design agendas aligning with corporate growth strategy, orchestrating Town Halls, coordinate seamless global travel, coordinate and lead high-impact team events, mentor and train department EAs. This role demands a trusted advisor who brings business maturity, flawless discretion, and a collaborative spirit to every interaction.

This position is an individual contributor role reporting directly to the Chief Operating Officer.

Responsibility

  • Serve as the primary point of contact and professional ambassador for the COO, managing internal and external communications with diplomacy and tact

  • Optimize executive rhythm that elevates the organization and culture

  • Architect, manage, and protect a complex, fast-changing executive calendar, strategically prioritizing commitments to maximize the COO's time and efficiency

  • Anticipate, evaluate, and independently resolve intricate scheduling conflicts across multiple time zones and stakeholder groups

  • Identify and leverage AI-driven tools to enhance the COO's decision-making, optimize strategic planning, and streamline organizational efficiency

  • Orchestrate comprehensive, seamless global travel itineraries, coordinate high-profile speaking engagements, presentations, and group events, and manage timely expense reconciliation

  • Act as a creative problem solver, liaison, and facilitator, streamlining administrative procedures and driving alignment across the COO's broader leadership team

  • Draft, review, and refine high-stakes correspondence, briefings, reports, and executive-level presentations with flawless accuracy and attention to detail

  • Partner collaboratively with the Executive Assistant cohort to ensure seamless operational coverage and backup support across the leadership team

  • Assist with the end-to-end logistics for in-person Board and Committee meetings, including technical setup, catering, attendance tracking, guest presenter coordination, and executive dinners


Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic

  • Bachelor's degree

  • 5+ years of relevant professional experience supporting a C-level executive within a fast-paced, demanding corporate environment

  • Proven track record of handling highly sensitive corporate and personal data with absolute discretion and integrity

Preferred

  • Experience within a public technology or SaaS company
  • Demonstrated ability to identify, evaluate, and integrate emerging AI technologies for strategic advantage and executive-level organizational optimization

  • Demonstrated professionalism, emotional intelligence, and the ability to interface confidently with board members, investors, and senior directors

  • High comfort level navigating ambiguity, with the autonomy to make sound, independent decisions in real-time

  • A proactive, "can-do" attitude with a continuous-improvement mindset, always looking for innovative ways to add value

  • Exceptional ability to prioritize a heavy workload under pressure, meeting tight deadlines without sacrificing quality or attention to detail

  • Outstanding interpersonal, verbal, and written communication skills, with a natural talent for building cross-functional relationships

  • Mastery of modern productivity suites (Google Workspace: Docs, Sheets, Slides) and enterprise tools (Docusign), including experience leveraging AI-assisted productivity applications


Wage Transparency

Pay for this position is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience.

Based on applicable legislation, the below details pay ranges in the following locations:

California: $57.30/hour - $88.83/hour

This role is also eligible for the following:

  • Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
