Posting Summary
Rutgers University Correctional Health Care is seeking a Full Time Secretary I located at New Jersey State Prison in Trenton, NJ As the executive level secretary, provides high-level, confidential secretarial services and assists with the administrative activities within UCHC's Central Office. Under supervision, coordinates all activities for assigned projects and programs.

Duties include:

  • Provides high-level secretarial services to the Chief Operating Officer and the Principal Management Assistant (PMS)

    • Composes and produces a wide variety of correspondence for signature, often of a confidential nature.
    • Creates tables, charts and graphs as required.\
    • Coordinates all assigned reports and unit level submissions of budgets and other projects that need to be consolidated for division level submission.



  • Oversees or makes detailed travel arrangements for supervisors and other department
    personnel, compiling documents for travel -related meetings.

    • Submits expense reports for reimbursement.
    • Prepares mileage and travel reimbursement submissions.
    • Orders all supplies and equipment, tracks all expenses and notifies supervisors of any
      potential shortfalls


  • Receives and assists callers and visitors. Greets all callers in a prompt and courteous manner.
    Screens telephone calls for the Central Office and accurately tracks and routes messages.
    • Provides strong customer service to all entities that interface with UCHC Central Office
      including direct reports to supervisors, Rutgers departments, DOC, and internal and external customers.

  • Creates and maintains databases and spreadsheets
  • Completes appropriate internal paperwork (paper or electronic) required by Unit, UCHC and the University.

    • Screens, organizes and routes general and mail.
    • Reviews paperwork requiring supervisors' signatures to check for errors or missing information and tracks paperwork in database

Required Knowledge, Skills, and Abilities

  • Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience required.
  • An additional year of experience is required in lieu of the secretarial program.
  • Proficiency in typing and advanced knowledge of Microsoft suite. Knowledge of DocuSignand all video platforms.
  • Demonstrated communication, organizational and interpersonal skills required.
  • College credits may be substituted on a year for year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
  • Valid NJ Driver's License. Use of own vehicle to travel between Rutgers and DOC sites.
