Position Summary: The Wealth Advisor Administrative Assistant completes administrative duties of assigned accounts including investment agencies, Trusts, and individual retirement accounts. Assists Senior Wealth Advisors, Portfolio Managers in the administration of client relationships. The role also encompasses financial planning, involvement of client and prospect meetings and client reviews. Will assist with other areas of the organization with particular emphasis on Private Banking and deposit/credit solutions.

Essential Functions:



  • Handle administrative duties of accounts including investment agencies, Trusts, and Individual Retirement Accounts.
  • Work with clients and Centers of Influence on an array of Wealth Management requests, issues, and solutions.
  • Pull quarterly and ad hoc client reports for all Wealth Advisors. Assist in the administration of client relationships that require customized reporting.
  • Pull and input documents and records to ensure accounts are kept in compliance with bank policies and standards working with the Senior Wealth Advisors.
  • Assist financial planning services for high-net worth clients in coordination with the Senior Wealth Advisors. Topics for developing a financial plan may include a review of current assets, retirement accounts, insurance and estate planning techniques.
  • Research and service client requests including distributions and transfers from investment accounts, questions on account activity or statements, and special requests.
  • Monitor cash lists of investment accounts for overdrafts and new contributions to existing accounts.
  • Serve as a resource for department tasks and for completion during periods of high workload demand.
  • Organize and track contacts with clients.
  • Assist with and help coordinate the new account opening process.
  • Assist with facilitation of marketing materials, proposals for new business, and client investment reviews.
  • Assist with interactions with UIMG, Trust, Private Banking and other departments of the bank and will facilitate transfers and money movement for client's funds.
  • Understand and adhere to all bank policies, laws and regulations applicable to their role. Complete compliance training and follow internal processes and controls as required.
  • Report all compliance issues, violations of law or regulations in accordance with the steps defined in bank policies.
  • Regular and reliable attendance is an essential function of this position.
  • Perform all compliance-related tasks and duties for accounts assigned.
  • Perform other job-related duties or special projects as assigned.


Qualifications:



  • College degree preferred in Finance or Accounting, and/or related work experience.
  • Minimum of 2 years combined administrative experience preferably in investments, Trusts, financial planning and/or banking required.
  • General knowledge of investments, trust industry and individual retirement accounts preferred.
  • Strong Client Service experience with an emphasis on Banking and Wealth Management background required.
  • Highly skilled in Microsoft Office Products and in working with other financial software.

Working Environment:
