The Opportunity:

UCF Faculty Excellence is hiring an Academic Support Coordinator I, a key role that supports and strengthens faculty success across the university. The Coordinator provides technical support for the university's Faculty Information System (FIS) platform and works closely with the FIS Manager and Faculty Excellence team to facilitate a wide range of projects, tasks, and workflows with internal and external stakeholders.

This position monitors and troubleshoots all FIS faculty workflows, including promotion and tenure, awards, sabbaticals, the professional development program, and faculty annual reports and evaluations. The Coordinator helps ensure that faculty processes run smoothly, data remains accurate and accessible, and endusers receive the guidance and support they need. This is an excellent opportunity for a detailoriented, techsavvy professional who enjoys creative problemsolving, improving processes, and delivering exceptional service within a collaborative academic environment.

Responsibilities:


  • Create and track cases in the FIS Monitor faculty profile and activity entries. Responsible for the entry, update, and deletion of users and committees in the Faculty Information System (FIS) and Teams. This includes the entry of security roles, correspondence related to requests, and audits.

  • Support the development and update of the FIS guides and materials.

  • Coordinate the intake and organization of applications and documentation for programs that run outside of the FIS. Create, implement and maintain reporting and tracking systems with Excel Pivot Tables, Microsoft Teams, shared folders, email, or similar tools.

  • Coordinate and support the preparation and distribution of letters, email notifications, agendas, meeting requests. Support website updates.

  • Assist with testing of the FIS upgrades, enhancements, and reports.

  • Monitors email accounts and corresponds as appropriate.

  • Americans with Disabilities Act (ADA) compliance verification and preparation of documents for accessibility.

  • Other duties as assigned.


Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Bachelor's degree.

  • Experience supporting academic affairs or faculty affairs in higher education.

  • Strong customer service orientation with proven experience assisting endusers, resolving system issues, and communicating solutions clearly and professionally.

  • Proficiency in Microsoft Office Suite, specifically Excel.

  • Ability to prepare and structure data for clear reporting using Workday and related systems.

  • Experience working with enterprise or academic systems like Workday, PeopleSoft, Slate, or similar platforms.

  • Experience with data entry or data review for compliance and adherence to established guidelines.


The most successful candidates may possess the following qualities:


  • Strong organizational skills with the ability to manage multiple priorities, maintain meticulous records, and consistently meet deadlines.

  • Ability to communicate effectively, professionally, and appropriately with faculty, unit leadership, and senior administration.
