As the Program Coordinator, you'll be a vital part of a collaborative, interdisciplinary team that supports major Center initiatives, research activities, student programs, and operational excellence across the Center for Child and Family Policy.

What You'll Do:

Financial Management and Business Operations (35%)

* Coordinate and complete monthly reconciliations for Center operating accounts, ensuring accuracy, compliance, and timely reporting.

* Prepare and submit faculty and staff expense reports in Duke@Work using Concur.

* Create and submit Accounts Payable Check Requests in Duke@Work and PaymentWorks.

* Use Buy@Duke to create, submit, and track Purchase Orders, service agreements, and vendor payments.

* Determine worker classification for new vendors (employee vs. independent contractor) and coordinate with Procurement, Payroll, and Accounts Payable.

* Process payments to research participants in accordance with Duke policies and research protocols.

* Provide financial tracking and support for the NC Education Research Data Center (NCERDC), including monitoring payments and analyzing client trends.


Program and Project Administration (25%)

* Manage administrative operations of the Jacqueline A. Morris Fellowship, including application coordination, selection-process support, payments, and event logistics.

* Provide administrative support for the Policy+ program, including faculty communication, scheduling, and tracking program activities.

* Assist with planning and executing School Research Partnership events, including materials preparation, logistics, and participant communication.

* Maintain and update the annual School Research Partnership Manual.

* Provide short-term administrative support to Center grants and research projects, including copy editing, participant communications, and data-related tasks.


Communications and Content Development (20%)

* Support the Communications Director with newsletter content, writing, layout, and copyediting.

* Assist with graphic design needs for Center events and communications, ensuring alignment with Duke branding.

* Support communications across platforms, including writing, digital content creation, and basic video production/editing.

* Help maintain consistent, professional messaging for Center programs and initiatives.


Office Management and Executive Support (20%)

* Manage daily office operations, including tracking and ordering office and kitchen supplies.

* Serve as a proactive administrative partner to the Executive Director, faculty, and staff.

* Coordinate meetings, events, scheduling, and logistics.

* Handle confidential personnel, financial, and research information with discretion and sound judgment.



What You Bring
Education & Experience

Bachelor's degree; 1 year of experience in program administration, OR an equivalent combination of relevant education and experience.
Four years of progressively responsible experience in project management, including complex projects involving multiple functional groups.
Experience in medical education/publishing, clinical research, or medical product development is desired OR an equivalent combination of relevant education and/or experience.

Required Skills
Advanced proficiency in Microsoft Excel, including data tracking, reconciliation, and reporting.
Excellent writing, communication, organization, and attention-to-detail skills.
Ability to work independently with minimal supervision, as well as collaboratively across teams.
Strong interpersonal and problem-solving skills.
Preferred Skills
Experience with digital media, video editing, WordPress, Canva, Adobe Creative Suite, and/or social media.
Familiarity with Duke University or academic research environments.
Demonstrated leadership and initiative in managing complex responsibilities or projects.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
