Job Description

The Department of Surgery is seeking a highly organized and detail-oriented Program Manager to join our education team. This position works closely with the Program Director, institutional GME office, faculty, trainees, and external partners to ensure the program meets all Accreditation Council for Graduate Medical Education (ACGME) requirements and maintains smooth daily operations.

The role requires strong attention to detail, excellent organizational and communication skills, the ability to manage multiple priorities, and the capacity to collaborate with diverse personalities and professional groups.

Key Responsibilities
* Coordinate complex program schedules, including rotations, on call assignments, and annual program calendars.
* Ensure rotation schedules are supported by appropriate training sites and supervisory personnel.
* Collaborate with the Program Director on annual program planning and timelines.
* Maintain up to date program documentation, records, and evaluations consistent with ACGME accreditation requirements.
* Track trainee progress to ensure all graduation and competency requirements are met.
* Assist the Program Director to ensure continuous compliance with ACGME, Review Committee, and specialty board requirements.
* Maintain accreditation documentation within ACGME systems (e.g., ADS/WebADS).
* Prepare for and support accreditation site visits, annual program updates, internal reviews, and related activities.
* Ensure Program Letters of Agreement (PLAs) and affiliation agreements are maintained for all required training sites.
* Participate in developing and updating program policies and procedures to maintain alignment with institutional and accreditation standards.
* Coordinate educational activities, including conferences, didactics, workshops, and other training events.
* Coordinate required in training or specialty examinations, including scheduling, proctor arrangements, materials management, and submission processes.
* Coordinate the residency application and interview cycle, including:
o Managing ERAS related scheduling and communication
o Organizing interview day logistics (agendas, rooms, virtual meeting links, hospitality details)
o Communicating with applicants, faculty interviewers, and residents involved in recruitment
o Assisting with creation of recruitment materials and follow up communications
* Coordinate onboarding requirements for incoming trainees, such as:
o HR paperwork, credentialing, background checks, and institutional onboarding tasks
o Scheduling orientation sessions and training modules
o Ensuring completion of pre start requirements (vaccinations, IDs, system access, compliance training)
* Support program specific orientation activities, introductions, and welcome events.
* Assist residents with travel related arrangements to conferences, courses, and educational meetings, including:
o Registration support
o Travel approvals and reimbursements
o Coordination of required documentation for academic presentations
* Track conference attendance and ensure alignment with program policies and budgets.
* Serve as a primary contact for trainees, faculty, institutional GME personnel, and external partners.
* Assist with data management, reporting, communication, and operational tasks to support overall program effectiveness.
* Perform additional related duties as assigned.

Monday - Friday
8:00 a.m. - 5:00 p.m.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $55,000 - $65,000 annually
Grade: GGS - 9E
