SUMMARY:

Under the general supervision of the Brown University Health Directors of Quality and Patient Safety, performs a variety of secretarial and administrative support services.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Brown University Health employees are expected to successfully role model the organization's values of Compassion, Accountability, Respect, and Excellence as these guide our everyday actions with patients, customers and one another.

Handles a wide range of sensitive and confidential administrative and support-related assignments. Responsible for the day-to-day organizing, scheduling, and execution of the directors' schedules. Has excellent calendar coordination skills and is able to maintain schedule and meetings for the Directors, allowing sufficient time for meetings and travel, avoiding possible conflicts.

Acts as a professional point of contact representing the Directors to Brown University Health employees and external stakeholders. Uses discretion, judgement, common sense, and organizational knowledge to review, prioritize and coordinate a wide variety of complex and confidential requests.

May perform specialized functions pertaining to division or department operations. Performs a wide variety of duties such as composing correspondence and preparing forms, tables, charts, records, statistical tables and schedules. May requisition supplies with authority to sign for purchases within specified limits. Researches, fact-finds, and assembles initial materials and data for various projects and meetings as requested.

Coordinates arrangements for the Quality Oversight Committees and other meetings as assigned. Responsible for organizing meeting materials including invitations, agenda, presentations, reserving conference rooms and audiovisual equipment set up. May be asked to take minutes, record attendance, and coordinate follow-up actions, as appropriate, for each committee in a timely manner, producing a final quality product.

Demonstrate ability to prioritize effectively in a fast-paced, highly dynamic environment requiring frequent multitasking and adaptability. Effectively organizes and maintains all documents of a private and sensitive nature in accordance with company policies and procedures.

Requires exceptional critical thinking skills, differentiating between decisions that can be made autonomously and those that require input. Collaborates with colleagues to foster a team-oriented environment. Performs other related duties as required, including the coordination of department-specific projects and initiatives. Completes job functions and responsibilities with a can-do, solutions-oriented perspective.

Performs other duties as assigned.

EDUCATION:

Equivalent to completion of an Associate 's Degree in Secretarial Science. BA/BS preferred. Comprehensive knowledge of PC word processing and spreadsheet software applications and presentation software (eg. Powerpoint).

EXPERIENCE:

Four years progressively responsible secretarial or equivalent administrative experience in a fast-paced healthcare work environment.

A high performing professional versed in administrative assistance, multi-tasking, project management and technical skills.

Excellent interpersonal and problem-solving skills, ability to meet deadlines and possess an assertive communication style. Excellent technical skills including proficiency in Microsoft Office Word, Excel, and PowerPoint software, ability to record and compose minutes, and excellent writing and proofreading skills. Impeccable attention to detail is essential. Requires extraordinary discretion, the highest level of confidentiality. Proactive orientation and keen ability to anticipate needs and problem solve.

$22.04-$36.37
