BIC Manager (New Business)

Cooley is seeking a BIC Manager (New Business) to join the Business Intake and Conflicts team.

Position summary: The BIC Manager is responsible for the oversight and management of team daily operations, including but not limited to efficient conflicts, business intake, and compliance request processing and review, within a designated region/ group. Additionally, the BIC Manager is responsible for the supervision of team daily activities which include timecard processing, performance management duties, consistent team feedback, mentoring, and coaching. The BIC Manager will work with their respective BIC leader(s) on team reporting, metrics, and needs. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Provide day-to-day management and mentorship of direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage workflow, staffing coverage, review and process time logs/time off requests

  • Serve as main point of contact for escalated questions from assigned team, and cross-functional teams, including attorneys, paralegals, or other business professionals

  • Meet weekly with assigned team and provide written updates for discussion during weekly meetings with the manager

  • Respond to status checks and facilitate work, as needed

  • Responsible for processing and clearing all forms within respective division

  • Monitor team coverage of email boxes and queues and ensure timely and appropriate responses.

  • Proficiency in performing the roles of direct reports and assisting as needed across the respective division

  • Interact regularly with attorneys, paralegals, and business professionals through email and telephone to investigate and discuss potential conflict / intake / compliance issues and solutions in connection with a new form or other request for assistance

  • In collaboration with overall BIC Leadership, participate in strategic discussions on service goals, procedure, and refinement of process.

  • In collaboration with BIC Leadership and central HR, participate in hiring, performance appraisals, counseling, termination and other employee lifecycle events

  • Collaborate with BIC cross-functional and leadership teams in the training, continuing development, oversight and development of all team members including new hires

  • Take primary responsibility for the day-to-day implementation of agreed strategies for achievement of service goals and targets.

  • Ensure consistency of team approaches across roles and alignment in the team's application of procedure.

  • Where relevant, track and facilitate workflow across the team and by individual team members to ensure the meeting of expectations for volume, work quality, and expected timelines.

  • Support the BIC Operations Manager in developing and implementing comprehensive training programs related to conflicts policies and procedures for the BIC department as well as for onboarding for new joiners and ongoing training for current employees

  • In coordination with BIC Operations Manager, create training programs, materials, and events for individuals outside the department, such as attorneys and secretaries and practice team assistants

  • Provide regular updates as needed (partners, other practitioners, departments and business professionals) as needed

  • Stay consistently aware of current legal trends and information

  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications

  • Ability to work extended and/or weekend hours, as required

  • Ability to travel, as required

  • 5+ years of combined conflicts and legal intake experience

Preferred:

  • Bachelor's or JD

  • Prior training experience strongly preferred

  • Knowledge and experience with complete conflicts resolution strongly preferred

  • Paralegal Certificate or completion of an ethics course in paralegal program

  • Prior experience as a paralegal or legal researcher in a law firm

  • Supervisory experience

Cooley offers a competitive compensation and excellent benefits package and is committed to fair and equitable employment practices. EOE.

The expected annual pay range for this position with a full-time schedule is $120,000 - $175,000. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
